Short Description: This position is responsible for managing the operational support, maintenance, and development activities for business collaboration applications. The current defined Collaboration Applications include, but not limited to: Jira, Confluence, Promapp, Miro and aspects of Microsoft Teams and the Microsoft 365 suite.

Location: Perth Salary range:AUD 108,571- 119,893(Annual Gross)

Roles and Responsibilities:
System Administration: Develop processes and measures to define, manage and maintain configuration items within the Collaboration Applications platforms. Ensure Asset Management processes and procedures are followed for changes to any configuration items. Maintain all solution documentation and design artefacts to represent the current state of the environment. Perform administration on all Collaboration Applications infrastructure. Maintain configuration on all Collaboration Applications infrastructure. Ensure that Collaboration Applications software are kept updated per documented procedures, standards, and policies. Evaluate and recommend available and emerging technologies with the potential of improving business efficiency. Develop, manage, and report on a backlog of improvements, new features and bugs for tools as business requirements emerge or are requested Change Management Actively participate in the change management activities ensuring change control processes are executed per standards. Ensure the appropriate Change Management Practices are followed as per the defined policy, procedure and standard. Provide system training to new staff and existing staff with regards to features, changes and upgrades. Attend the necessary training and external workshops to maintain and extend knowledge. Anticipate the needs and impacts on for application to team members. Incident, Problem and Request Management Accurately and completely record all interactions in ITSM toolset. Understand and apply appropriate priority to tickets and other assigned tasks, ensuring effective use of time. Support and resolve all tickets for agreed and defined Collaboration Application services. Actively participate in Incident Management, providing on-call support as required. Own the root cause analysis and appropriate remediation or workaround of identified Problem Records per the Problem Management process. Audit and Compliance Carry out all Collaboration Applications responsibilities within the defined policies, procedures and standards maintained in our Internal Technician knowledge base. Seek approval from leadership when deviating from defined policy, procedure and standard. Document approval and outlier actions taken on the record kept within the ITSM toolset. Adhere to all Cyber and Security protocols and ensure the systems align. Vendor Engagement Incident and Request management to Vendors. Timely update of tickets regarding status, changes, and updates. Ensure Vendor SLAs are adhered to and manage escalations as required. Ensure Vendor driven changes are recorded as part of the Change Management process. Manage the procurement and supply of new services through Vendors and escalate to line manager for approval and review. Stakeholder Engagement Interaction and consultation with stakeholders for Business as Usual (BAU) operational requests. Recommending best practice solutions for operational requests. Skill / Competencies / Experience: ESSENTIAL Collaboration: Works cooperatively with others and makes valued contribution to achieve shared goals.
Continuous Learning & Innovation: Identifies learning opportunities to drive personal growth, innovation, and improve outcomes. Demonstrated proficiency in application administration. Demonstrated experience in managing an application backlog or working through a KanBan board. Possesses knowledge of Atlassian products. Applies expert knowledge of modern collaboration tools such as Zoom, MS Teams and Slack. Contributes concise communication skills, both written and verbal, specifically in the delivery of documentation and customer service. Actively collaborates within a team environment and independently operates without supervision. Demonstrated experience in critical thinking and problem solving, with the ability to look at challenges with a wider lens. Ability to manage a personal workload and self-identify capacity limitations. ADDITIONAL Broad understanding of processes typically performed by organisational functions such marketing, finance and accounts, human resources, audit, etc. Experience in working within Cloud environments. Experience with release management practices.
