The successful applicant will support clients and customers including the human resources team, application forms, recruitment activities, provide accounts receivable support to the Finance Team etc.Duties and Responsibilities include:ReceptionProvide professional front-of-house service to all visitors to the facility;Ensure completed signing in and out of all visitors and management of contractor induction;Management of all incoming telephone calls including providing accurate and timely response to all enquiries;Ensure that all capabilities of the telephone equipment are understood; ensure that all staff utilise the telephone system properly;Ensure the reception area is maintained to the highest level;Management of Security / FOB system.Administrative SupportManage all incoming and outgoing mail, including arrangements for couriers;Ensure that office & first aid supplies are available when required and items are replenished efficiently.RecruitmentAssist the HR team to ensure that applications are received and actioned appropriately;Assist with all office paperwork and filing as required.Accounts ReceivablePrepare all invoices and reports as required and requested;Follow up outstanding debts;Prepare, record and carry out banking activities as needed;Prepare and forward to payroll all staff purchase accounts;Provide assistance where necessary when required.Other DutiesAttend meetings as required.Any other duties, as requested.From time to time the duties associated with this position may change.
