4Tel is a leading communications and systems integration company with experience across various transport sectors both domestically and internationally. As a result of ongoing growth, we have a need for an office administrator to run the Warabrook office and support the CEO and General Managers (GM) in their daily activities.
The role is a permanent position located in Warabrook, Newcastle NSW. The nature of the role requires office attendance but offers flexible start/finish hours to work in line with the school drop-off and pick-up if desired.
The Role
Due to the nature of the business, a successful candidate will be comfortable using technology and the latest Microsoft apps. If you are a quick learner, have an inquisitive mind and are not afraid to seek answers whether that be by asking questions or doing a web search, you will enjoy this position.
We encourage both inexperienced and experienced persons to apply for this role.
The daily activities of this role may include:
General Office Management:
Arrange maintenance of office facilities and vehicles as required
Order and replenish office consumables
Arrange monthly staff morning tea or BBQ lunch
Organise lunch for in-house customer meetings
Book staff flights and travel
Submit timesheets, leave applications, etc.
credit card receipt management
Support other admin staff during holiday leave
Meetings:
Taking minutes of meetings
Following up action items and prompting team members to fulfill tasks prior to the meeting
Documentation:
Type up documentation as directed
Use company templates
Follow processes, remind others of processes (be a process champion)
Suggest improvements if required
Ability to format documents using short cuts in the Microsoft Office packages.
Calendar management:
Confirm daily meetings and rsvp as directed
Make appointments for both personal and work items
You will need a driver's licence for this role.
