We are a dynamic paediatric allied health clinic with various locations across Adelaide, dedicated to providing high-quality support and services to children and families. We are seeking a motivated and experienced Scheduling Coordinator to join our team. In this role, you will be crucial in coordinating client services, managing schedules, and supporting administrative functions to ensure smooth clinic operations.
Key Responsibilities: Coordinate Client Services: Manage daily scheduling, including booking new clients, providing necessary paperwork, and ensuring documentation is complete, accurately inputted into Splose, and appropriately filed.
Diary Management: Monitor and manage therapy schedules, identify and resolve room clashes, fill gaps in the diary by contacting clients, and coordinate coverage for short-term or emergency leave.
Waitlist Management: Maintain and update waitlists for all disciplines.Send SMS notifications to waitlisted clients every three months to ensure the waitlist remains "live."Populate new client spots for therapists with appropriate clients from the waitlistSchool Holiday Groups:Coordinate bookings and manage group numbers.Provide and follow up on required group paperwork.Organize social media advertising for group sessions.Coordinate shopping lists and make necessary purchases for activities.Send, receive, and review feedback forms related to the school holiday groupsIntensive Program Coordination:Identify potential intensive clients in collaboration with therapy team leaders.Provide information about the intensive program to new clients and coordinate free trial offers with relevant therapists.Coordinate intensive bookings and maintain the booking calendar.Raise and receive deposits and payments for intensive bookings.Follow up on all necessary client paperwork.Create completion certificates for clients at the end of each intensive block.Customer Service Focus: Actively promote a positive and customer-focused team culture, guiding clients through processes such as booking translators and completing paperwork.Hydrotherapy Pool Scheduling: Manage scheduling for hydrotherapy sessions, ensuring client needs are met efficiently.Administrative Support: Assist with scanning, invoicing, daily setup and closing of the clinic, and other general administrative tasks as needed.Compliance and Quality Assurance: Ensure clinical documentation is accurate, complete, and compliant with policies and procedures.Meeting Participation: Attend weekly team meetings, fortnightly admin meetings, and professional development training sessions.Assist with Marketing and Content Creation: Support the development of marketing materials, such as blogs, videos, brochures, and presentations for schools and events like the annual KYDx expo.Desirable Experience and Skills: Prior experience in a scheduling or administrative role, preferably in a healthcare or allied health setting.Knowledge of NDIS, Enhanced Primary Care Plans, and Mental Health Care Plans is highly desirable.Proficiency in using Splose or similar practice management software.Strong organizational and time management skills with the ability to work autonomously and meet deadlines.Excellent communication and interpersonal skills to interact effectively with management, clients, and other stakeholders.High attention to detail and a commitment to maintaining confidentiality and adhering to clinic policies and procedures.What We Offer: A supportive and collaborative work environment within a multidisciplinary team.Opportunities for ongoing professional development and career progression.A role that offers variety and the opportunity to make a difference in the lives of children and families.How to Apply:
