Rugby Services Coordinator

Purpose The Rugby Services Coordinator will coordinate the planning and delivery of rugby operational services and logistics for international teams and matches conducted by Rugby Australia including but not limited to: Domestic Wallabies & Wallaroos test matches Inbound tour matches International rugby sevens Other events as required The position is one of the main points of contact from a host union operations perspective and must therefore manage and develop operational relationships with Rugby Australia's internal and external stakeholders such as venues, teams, match officials, service providers and suppliers. It is responsible for supporting the servicing of all inbound team and management requirements including the facilitation of all travel, accommodation, ground transfers and local transport, management of team volunteers, coordination of training venues and equipment and any other team related needs. Other areas of this role may include providing support to other match day rugby operations, administration and logistics. Key Accountabilities Strategy Continually challenge and refine planning and operational procedures to operate more efficiently and effectively and support inbound team planning, logistics and management Work with the Rugby Services Manager to achieve and maintain productive, progressive and harmonious relationships with key stakeholders Assist with developing, producing and refining Rugby Australia's Rugby Services policies and procedures for review and implementation which include event/tournament manuals outlining logistical, administrative and operational requirements Finance Assist with the preparation, reporting and management of rugby services expenditure and event budgets Operational Support rugby logistics and match day operations of inbound international teams for domestic Wallabies and Wallaroos test matches, HSBC World Sevens Series and other events from time to time Service the travel needs of all inbound international teams and their management, including the facilitation of all flights, accommodation and ground transfers Coordinate the match day requirements of inbound international teams including transport, medical requirements, referee meeting and dressing room requirements Liaise with relevant external organisations to ensure rugby operational requirements at events are catered for Support teams with the appointments and management of liaison officers for all inbound teams Provide match day support to all internal Rugby Australia departments relating to rugby operations including High Performance, Match Officials, Medical and Integrity Develop and implement operational policies and procedures as applicable Where required, assist with the event planning process including the development and management of key match day tools including event documentation, parking, accreditation, satellite catering and security access documents Capabilities, Experience & Qualification Requirements Capabilities Ability to take a strategic view on planning and delivery whilst exhibiting a strong attention to detail Demonstrated ability to manage multiple tasks in a pressure environment and prioritise them accordingly Strong communication (verbal and written) and relationship management skills Ability to build and maintain strong relationships with venue operators, event team members, teams, external stakeholders and contractors to drive the overall operational success of Rugby Australia's events Ability to think clearly, remain calm under pressure and be able to demonstrate conflict resolution skills Exhibit flexibility and a team-focused attitude Extensive knowledge of and an ability to utilise Microsoft applications Experience Prior success in event coordination for a sporting organisation Disciplined budget reporting with previous experience in administering a financial budget Previous people management experience with a demonstrated ability to maintain relationships with a diverse group of stakeholders, e.g. marketing, venue and state unions Prior knowledge of rugby operations and high performance team requirements at an international level would be desirable Qualification Requirements Appropriate tertiary degree or relevant experience
