You will help manage and schedule meetings, prepare agendas, take meeting minutes, make travel and meeting arrangements, manage expense reports and submission, maintain appropriate systems to ensure efficient daily operations.You will also organise and coordinate office operations and procedures in the Sydney office (co-working space) as well as for the wider APAC team.
The Regional Administration Assistant endeavors to identify and implement improvements to administrative and operational processes to contribute to the efficient operation of Relativity.This position will report to the Sales Director APAC.Your Role In ActionCalendar management, partnering with other administrative assistants to handle requests from senior managersSetting meetings, preparing content, taking minutes and disseminating meeting actionsBook and manage domestic and international travel arrangementsMonthly reconciliation of expensesParticipate in event planning and supportMeeting and workshop arrangements both locally, interstate and internationallyPlan and run social events (virtual and in person), social impact initiatives and employee-related company events and programmes throughout the yearMaintain a smooth running and efficient office environmentWork with the Program Manager, International and Global Facilities regarding physical office requirements and initiativesCoordinate with IT for all new hire requirements, offboarding arrangements and escalating hardware issuesMaintain system hygiene (eg.
Sharepoint, Salesforce)Region specific onboarding for new hiresRespond to emergencies or urgent issues as they arise and reportGeneral support for remote and in person teams across APACYour SkillsAt least 3 years in an office manager or administrative professional support functionIndependently drive projects and company plans to completionSolid project management skills to coordinate and lead a variety of projectsHandle confidential informationFocus on helpfulness and customer serviceExperience managing schedules, booking travel and providing general support for a Director-level or aboveGrammar, editing, formatting, document preparation and proofreading skillsExcellent knowledge of the Microsoft Office SuiteRelativity is a diverse workplace with different skills and life experiences—and we love and celebrate those differences.
