Environment & Sustainability Consulting (Consulting & Strategy) PKKP Aboriginal Corporation administers the traditional lands and waters on behalf of the Puutu Kunti Kurrama and Pinikura people. These lands and waters cover approximately 10,888 square kilometres of Western Australia's Pilbara region, between Onslow and Tom Price. Our Core Values Respect Culture Transparency Compassion Guided by the Members Services Program Manager the Programs Officer - is responsible for supporting the development and implementation of Community Programs to the PKKP membership and broader community as identified. In this position, you will be a key point of contact for the PKKP community programs team. Therefore, to be considered for this role you need to possess a high level of administrative skills, emotional intelligence, and the ability to build rapport with the community quickly. The primary purpose of the Programs Officer role is to engage, assist and support PKKP members to access programs designed to build strong PKKP people who are self-determined and prosperous and to act as an advocate for PKKP members to improve service access, support and address issues with external service and program agencies and other such external providers to break down the barriers being experienced by both parties. Contributing and providing high-quality administrative, event, and operational support to members and the wider team as needed to achieve PKKP Aboriginal Corporation's strategic objectives. This position requires a highly collaborative and organised multitasker, with experience in Community program development, coordination, administration, and delivery. Guided by and reporting to the Programs Manager you will: • Lead and respond to the day-to-day member program and services inquiries and registration for program support. • Assist Members in understanding all Charitable Trust guidelines and policies related to program delivery. • Support regular engagement and communication with members, informing them of Membership Benefit Policies and Programs, MSU's activities, community programs, and other service offerings. • Provide members assistance, guidance, and the necessary support required to meet Trustees' requirements and appropriate collaboration with external service providers as necessary. • Maintain effective membership program information management, filing and archiving processes and systems. • Support and deliver on PKKP's Community Outreach Program objectives. • Partner with the Health & Wellbeing Officer to support members' well-being, liaising with other internal member officers to appropriately support health, economic, social, and educational outcomes. • Assist members in identifying and engaging in appropriate programs and services. • Maintain professional attitudes and relations with all members and external stakeholders. • Assist in formatting various documents using Microsoft Office Suite. • Drive continuous improvement of program and service activities to the membership. General Membership Program and Service Support – Internal Engagement • Assist Members in understanding Trust guidelines and policies. • Assist Members to complete applications to access Member Benefits Program (MBP) funding, while ensuring applications fulfil the MSP guidelines and provide accurate advice on potential support available for appropriate and relevant programs. • Able to prioritise and triage by identifying Members needs and direct them to the right officer if outside the remit of this role. • Distribute SMS and other correspondence in relation to programs to membership with detail, tact and in a professional manner. • Assist in prompt and accurate program planning, promotion, coordination, administration and delivery. • Ensure member service support and program data is tracked. Regularly following up as necessary. • Report to, support and escalate any matters regarding programs and services to the Programs Manager. • Work collaboratively with other Officers ensuring good communication, information and learnings are shared, as needed to achieve overall unit objectives. • Work cross-collaboratively with other teams within the Corporation providing assistance as needed. Member Service and Program Coordination – External Engagement • Engage and monitor members well-being, advising appropriate Officer of any health, economic, social, and educational support needs. • Assist members to identify and engage appropriate programs and services, supporting them to understand and complete documentation necessary to access applicable programs and services. • Engage, liaise and maintain relationship with Trustee, Executive officer and other key agencies. Develop a working knowledge of their processes to assist members effectively and efficiently. • Contribute to the coordination of program planning, coordination and implementation. • Contribute to coordination of program meetings, events, venues, catering appointments, calendars, and meetings required by the MSU Unit and PKKP AC. Reporting • Track program engagement, registrations and general information, statistics and feedback relating to Member Services Program delivery. • Contribute to the continuous improvement of Member Service Unit. • Support the achievement of Key Performance Indicators (KPI's) of the PKKP Strategic Plan, specifically how programs contribute towards our collective KPIs. Other • Complete other necessary tasks, as requested. Champion quality engagement, communication and relationship building with all members, staff, and stakeholders. • Support and contribute to the Member Programs team input into monthly Newsletter, contributing and gathering all content, supporting distribution, and ensuring it aligns with style guides. • Support member engagement, communication, correspondence, surveys, and feedback, sessions. • Contribute and support professional front of house operations, including maintaining the presentation of office, greeting of members, answering of telephone enquiries and member notification services, when necessary. Work as a team. • Assist members, guests and visitors ensuring they are professionally greeted, seated, and attended to. • Maintain cultural appropriateness, professionalism, ensuring our members feel comfortable engaging with the corporation. • Where required, attend external meetings, and represent the Corporation in a responsible and professional manner. Essential Skills, Experience & Qualifications • Culturally aware and has a respect and understanding for aboriginal people • A keen interest in community service program design, development or other relevant disciplines • Completion of Program and Project Management Qualification would be highly desirable but not essential • A minimum of 2 years' experience in a similar position • Exceptional communication skills, verbal and written. • An authentic, professionally mature, positive, and friendly attitude • Highly discrete and confidential, with the ability to apply common sense • Experience in maintaining information systems, records and registers • Good computer skills with a sound understanding of the Microsoft Office package. • Ability to build positive relationships with stakeholders • Strong problem-solving skills. • Highly flexible, adaptable, and willing to work in dynamic environment • Willing to travel out of town as needed to support community outreach programs • Ability to form and maintain trusting and respectful relationships with Members • An inclusive team player who can manage competing priorities and is solution focused • Excellent organisational skills and ability to consistently follow-through on tasks • Ability to use initiative and find solutions. • Current National Police Check (or ability to obtain) • Valid Working with Children Check (or ability to obtain) • Aboriginal and Torres Strait Islander people are encouraged to apply for this role.
