About the role: Based predominantly between our Eltham and Moonee Ponds clinicsReporting directly to the Finance & Business Operations Manager, and Managing DirectorHigh level administration and client supportSupporting client intake, client file and management of service agreementsResponsible for the delegation of tasks to other operational team members to ensure tasks, deadlines and outcomes are metReporting on clinicians KPI's, diary accuracy, and ensuring diary optimisationScheduling, appointment coordination, client onboarding and client managementPreparing weekly reports and managing our clinical and group therapy enquiries and allocations waitlistGeneral office management, ensuring a welcoming clinic environment for clientsOverseeing overall client service, client management and retention, and overall client journey satisfaction Supporting the onboarding of team membersSupport invoicing and billing of client sessions and group therapy enrolmentsEmpathetic, non-judgemental disposition and ability to support clients with trauma and adverse experienceOur ideal applicant will have: Strong demonstrated experience in a practice management role, in a health or preferably mental/allied health organisation Meticulous organisational, time management and prioritisation skillsProactive and skilled in multitasking in a dynamic environmentStrong computer skills including Office 365 and specific confidence managing and developing spreadsheets (to manage enquiry and allocation waitlists as well as various reports for senior management)Be professional, personable and empathetic, non-judgemental and with a client centred disposition to support clients with trauma and adverse experiences Ability to effectively manage a small team and delegate tasks to ensure processes and protocols are followedStrong team leader, demonstrated experienced in client service and administrationAbility to implement new system improvements to positively impact the overall enquiry and allocation journey for clientsExperience with practice management systems, specifically Cliniko advantageousExperience using Xero for purpose of basic invoicing Experience working with or understanding of the NDIS advantageousFurthermore, the applicant will be expected to contribute to the wider organisation as a leader and demonstrate the ability and confidence in doing so, by contributing to decision making and general business informing to improve and shape the future of the organisation and improve the proficiency of arguably one the most important parts of the Play Therapy Melbourne client journey.
