Role Overview The Project Management Assistant will support the Marketing Project Manager and Head of Marketing (HoM) in coordinating projects, tracking progress, and reporting key metrics across a diverse marketing department.
This role is perfect for someone with strong organisational skills and a knack for detail, who enjoys enabling team success while ensuring deliverables are met on time.
You will work closely with other areas of marketing including the Creatives, Digital Ads, Social Media, Product Marketing, SEO, Email, Content, and Website Development teams, to provide seamless support for projects and reporting.
Your Responsibilities Assist in project and task coordination: Develop and implement project plans.Work with each team manager to schedule and allocate tasks to team members a week+ in advance, ensuring critical data such as due date and work hours are filled in.Track project timelines and deliverables across teams.Collaborate with teams to drive projects toward completion.Oversee the ticketing system, ensuring correct allocation and timeliness in actioning requests.Reporting and metrics: Monitor and report on productivity and KPIs, proactively raising where KPIs and due dates aren't met.Provide administrative and reporting support to the HoM.Schedule and coordinate webinars across various teams if PM is not available.Assist in setting up and managing webinars on the GoToWebinar platform.Ensure webinar schedules and communications are well-organised and on track.Organise, attend, and record minutes for meetings.Disseminate tasks or action items with relevant teams.Coordinate team-building activities and social events.Assist with completing marketing project tasks where time permits.Process improvement: Ensure cross-functional collaboration and smooth project workflows.Promote integration and accountability among teams.Requirements At least 1 year of experience in project coordination or using project management software.2+ years of experience in marketing or administrative role.Exceptional communication skills (written and verbal).Strong attention to detail and ability to multitask effectively.Highly organised with a proactive approach to problem-solving.Comfortable tracking and meeting deadlines.Familiarity with project management tools (e.g., Zoho Projects).Exposure to reporting tools like Google Analytics, Google Console, or Ahrefs.Certification or coursework in marketing or project management.What's in it for you?
