Job Title: Guiding Support & Administration

This role reports to the Guide Manager of Guides Australia and is responsible for assisting in recruitment and allocation of both day and extended touring guides.
Main Responsibilities Assist Guide & Customer Relationship Manager with tour guide/tour director allocations. Complete & quality check final tour paperwork. Build and maintain relationships with current and or new guides and clients. Assist with timesheet entry and payroll as required. As required assist with afterhours guide support. Provide accurate confirmations, reconfirmation, and tour documentation for all guides. Ensure all reporting and documentation is correct for invoicing of files. Assist the Accounts Department with invoice queries as they arise. Assist in all other areas of the business when required. Other Information Due to the nature of the guiding industry, the role will include working extra hours when operationally required and across weekends and public holidays. Strong organizational skills with the ability to manage scheduling efficiently. Ability to complete and check paperwork to ensure accuracy and quality. Creating and maintaining accurate records for rostering and payroll purposes. Demonstrated experience in building and maintaining strong relationships. Excellent interpersonal skills, with the ability to engage and communicate effectively with people from diverse backgrounds. Strong time management skills and flexible working attitude. Experience in handling urgent issues and enquiries in a timely manner. Strong problem solving skills and the ability to adapt to changing priorities. The ability to face challenges head on and a 'can do and hands on' attitude. Experience using an in-house Reservations System would be considered an advantage. Knowledge & Experience Knowledge and understanding of the travel/cruise industry would be an advantage. Excellent product knowledge of Australia. Previous experience in office administration. Understanding of logistics. Skills & Aptitude High attention to detail. Mature outlook and ability to stay calm under pressure.
