As the Facilities Administration Officer, you will play a significant role in assisting in the delivery of Facilities Management services at the CSIRO Newcastle Site. You will be responsible for a broad range of interesting initiatives such as, logistical, administrative and coordination services to support the effective provision of facility management related activities across a broad range of CSIRO operational functions.
Your enthusiasm to grow professionally, conscientiousness and personable approach will be imperative as you will be required to monitor (and report on) contractors to ensure their service delivery is in accordance with the contract conditions and specifications, supervise site administration officers/receptionists, and maintain a good level of subject matter expertise in facilities management and operations.
Please note, from time to time, the role involves out of hours work and site call-outs (within the designated area) and the ability to access all equipment at these sites. You may also be required to work at other sites within the State from time to time as directed.
Your duties will include: Responding courteously and efficiently to client requests, maintaining clear communication regarding mutual expectations and monitoring client satisfaction.
Undertaking a broad range of property-related administrative activities to a high standard, in support of the CBIS site, state or regional team. This will include interaction with Facilities Management systems at an experienced user level as may be required for the efficient operation of the region.
Providing support to more senior staff, delivering precedent-based policy & procedure interpretation and advice, and instructing others on routine administrative activities, as required.
Recommending improvements to systems and procedures and implementing any approved changes.
Local role with day-to-day oversight and supervision of Reception staff in the provision of a high-quality Reception / Visitor Management Service.
In conjunction with the Facilities Manger monitor the daily facilities services works undertaken by CBIS staff and contractors to ensure compliance with programs and contracts through initiatives including but not limited to, ensuring compliance with CSIRO policies and procedures, with reference to HSE and security and checking and filing JSEA/SWMS documentation and insurances as required.
Maintaining a good working knowledge of the site, its equipment and the current maintenance needs. Raise works orders as necessary.
Location: CSIRO Site, Newcastle NSW. Salary: AU $70,874 - $90,202 plus up to 15.4% superannuation

Proven ability to identify areas for improvement, consider feasible solutions and implement changes once proposals have been reviewed and approved by relevant leaders.
Exceptional interpersonal skills, having a proven record of working well in a team environment, a sense of customer service with a diverse group of stakeholders, and being able to share relevant and useful information.
Demonstrated capability to supervise and train others and foster a positive working environment.
Sound keyboard skills, knowledge of Microsoft Office applications and the ability to become familiar with use of facilities management specific software and systems.
An ability to manage property administration functions such as Work Order management and Contracts and Contractor management or; demonstrated experience in the coordination of repairs and maintenance and minor works and services including, security, cleaning, waste management, grounds maintenance, and experience working in facilities management and/or logistics environment is desirable.
