Department of Education's Engagement and Talent Acquisition team delivers a range of services and projects focused on the attraction, recruitment and mobility of school based and corporate staff across Queensland. We also work collaboratively with our colleagues and stakeholders to develop evidence informed strategic workforce plans and deliver a suite of targeted initiatives focused on ensuring the department and Queensland state schools have access to the employees they need to help every student realise their potential.
Your Role: Our Executive Services Officer works collaboratively to support our diverse teams with executive administrative support and corporate services, to ensure the smooth operation of our office. Department of Education has a temporary opportunity for six month with a possibility of extension for a highly experienced Executive Support Officer to provide correspondence coordination, to the Engagement and Talent Acquisition Unit within the Human Resources Branch.
Responsibilities include:
Process invoices and payments, generate purchase orders and corporate credit cards purchases, coordinate purchasing and procurement of stationery, assets and office equipment and ensure compliance with departmental finance and procurement processes and guidelines.Provide support to team members including booking travel and accommodation, organising catering and managing logistics for events that the teams are hosting, and support on and off boarding processes, including organising IT, Security and HR access.Undertake general IT, HR and finance administrative duties, providing routine information and advice on administrative, human resource and financial issues to management and staff.Collaborate effectively with colleagues and contribute to a positive and productive work environment and effectively respond to emails and phone calls, and maintain professional communication across all channels.Manage the flow of correspondence and briefs, including distributing and tracking requests and ensuring timely responses and approvals.About You: To be successful you will need:
Experience in an administrative or executive support role, including an understanding of the functions of a senior executive officeDemonstrated correspondence coordination experienceExcellent organisational and problem-solving skills, and a keen eye for detailStrong communication and interpersonal skills, both written and verbalProficiency in MS Office Suite, and knowledge of (or be confident to quickly learn) departmental systems such as Content Manager, SAP and Service NowIntegrity, discretion and professionalism, especially with regard to handling confidential informationAbility to work independently and manage multiple tasks simultaneouslyPositive attitude, willingness to learn, and a genuine passion for making a differenceWe offer:
