PA, EA & Secretarial (Administration & Office Support) Boutique is excited to be working with a leading advisory firm renowned for their best-in-class and highly impactful work with major corporations, private investment, and government entities. You'll be an orchestrator of business-wide initiatives and a central point of contact for a high-energy and high-performing team. This role will see you effortlessly blend intricate schedule management with the production and preparation of high-calibre communications and presentations. This is a high-impact Executive Support role where you'll be engaged across all parts of the business. What You'll Do:Manage Extensive Diaries: Juggle and coordinate the schedules and appointments for up to 3 executives, ensuring seamless time management.Client Interactions: Engage with VIPs and high-level clients, providing exceptional service and creating a positive impression.Deal Team Coordinator: Act as the primary contact for deal teams, assisting with scheduling and orchestrating events like closing dinners and roadshows.Document Production: Craft high-quality documents and presentations using company templates in Word and PowerPoint, showcasing your attention to detail.Print Production: Oversee the print production and collation of vital documents and presentations, ensuring they meet company standards.Travel Arrangements: Book intricate travel plans, ensuring every detail is meticulously organized.Reception Duties: Answer phones and warmly greet clients and guests upon arrival, making them feel welcome.Office Administration: Handle a variety of administrative tasks, including organizing client events, social committee activities, processing expense claims, and catering for meetings.Team Collaboration: Work closely with the broader business support team to ensure the office runs efficiently and smoothly.The Experience and Expertise You'll Bring:Seasoned Expertise: You own a vast wealth of knowledge and skills via at least 5 years of experience as an Executive Assistant in fast-paced corporate settings, ideally within financial services or advisory.Communication Skills: Your outstanding communication skills enable you to effectively interact at all levels.Discretion and Maturity: You handle sensitive and confidential information with the utmost discretion and professionalism.Accuracy and Consistency: Your work is always precise and reliable, maintaining high standards in every task.Time Management: You juggle multiple tasks and competing deadlines with ease, ensuring timely and efficient completion of all responsibilities.Technical Proficiency: Mastery of MS Word and PowerPoint, ensuring all documents and presentations are top-tier and on-brand.Calm and Resilient Under Pressure: You excel in high-pressure environments, keeping a cool head and delivering exceptional results.Adaptability: You thrive in varied roles, showcasing flexibility and a proactive approach to diverse tasks.Professionalism: Your presentation and demeanor reflect the highest standards of professionalism.Dependability: Your work history is reliable and stable, demonstrating commitment and consistency.Going Above and Beyond: Your dedication to excellence drives you to exceed expectations in all aspects of your role.Team Collaboration: You possess a strong desire to work collaboratively, fostering a supportive and cohesive team environment.In short, you're an experienced and well-rounded executive support professional who anticipates challenges before others, pays attention to the smallest details, and consistently performs at the highest standard. In return, you'll become an integral part of a leading team at the forefront of corporate activity, gaining invaluable exposure to the inner workings of one of the top corporate advisory firms.
