We are here to help our customers and our unique customer centric service model has supported our achievement of record customer growth and customer satisfaction.With Branches spanning from South West Rocks in the north to Taree in the south, we are currently looking for an Executive Assistant (20 hours per week) to join our dynamic team in the Macleay Valley.The Executive Assistant (EA) role is the interface between internal and external stakeholders and the Executives they are supporting. The Executive Assistant ensures the business runs smoothly by providing direct, high-end clerical and administration support, including scheduling meetings and managing office paperwork.The Executive Assistant must have a high level of stakeholder engagement and manage competing priorities in a fast-paced environment. They must be highly organised with a strong focus on attention to detail, ensuring that information is accurate, timely, and appropriate approval processes are followed. The EA will also have excellent verbal and written communication and research skills, with the ability to prepare correspondence on behalf of the CEO or Executive Team.Your ResponsibilitiesProvide Executive Assistant support to the Chief Executive Officer.Assist in the preparation of Board materials and other documents for meetings.Take minutes during meetings and distribute them to relevant parties.Respond to enquiries, requests, and issues on behalf of the Chief Executive Officer.Overall administration management of our Board Effect Portal.Attend Board and Committee Meetings as required.Make travel arrangements for the Chief Executive Officer, Board of Directors, Executive Managers, and team members.Manage calendars, schedule meetings, record action items, and do follow-ups.Prepare and edit documents and presentations on behalf of the Executive Team.Manage and prioritise the Executive's tasks, deadlines, and priorities.Anticipate the needs of the Executive and proactively provide support.Manage the Coastline motor vehicle fleet (inclusive of purchase, service, fuel, and account management).What You Need to SucceedThe successful applicant:Has a minimum of two years in a high-paced Administration Environment (previous experience as an EA will be highly regarded).Will have exceptional presentation, communication, and interpersonal skills.Will have strong organisational and time management skills.Will have the ability to multi-task, prioritise, and manage time effectively.Will demonstrate a high level of attention to detail, including data integrity and compliance.Will understand the value of developing and maintaining involvement in our local community.What You Will Receive in ReturnAn attractive salary commensurate with experience.Work-life balance in a dynamic role with an organisation that values community engagement and the opportunity to live and work on the Mid North Coast.Professional development and career opportunities, with on-the-job coaching and annual scholarships available for higher learning.Generous staff benefits including access to discounted health and general insurance.3 days paid volunteering leave per annum, so you can give back to your local community (pro-rata for part-time hours).Access to Perkbox, our benefits and rewards program giving access to hundreds of deals, discounts, and curated wellbeing content.Free annual flu vaccinations.Employee Assistance Program providing free counselling sessions to support your wellbeing, as well as your immediate family members.Our customers are from different backgrounds and all walks of life just like our team members.
