Established in 2015, Canberra Town Planning (CTP) is a Town Planning consultancy firm that is focused on providing strategic advice, statutory planning and environmental approvals for projects in the ACT and regional NSW.
CTP prepares and delivers planning outcomes for a range of private, government and institutional clients.About the roleThe Executive Assistant is responsible for providing confidential executive, project and administrative support to the Directors.
This role will also assist with other administrative aspects from time to time.
In this role you will achieve high quality outcomes with minimal supervision.Key responsibilities:Maintain the Directors' calendars, including organisation of meetings, appointments and conferences, as well as preparation and dissemination of information for meetings.Document billable and non-billable hours, through our time sheeting system, in an accurate and timely manner.Providing administrative support, including coordination and management of emails, and efficient use of office systems.Screening phone calls, enquiries and requests, and handling them when appropriate.Manage a complex diary, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation.Manage travel and accommodation arrangements.Assist with function and event management.Act as the primary point of contact between the Directors and internal/external stakeholders, handling correspondence, and facilitating smooth interactions.Assist with administrative aspects of Town Planning tasks e.g.
ACTLIS searches and maintenance of SharePoint files.Handle credit card reconciliations.Provide support to other client projects as directed by the Directors.Handle sensitive information with the utmost discretion and integrity.Ensure that all work is carried out in accordance with CTP's policy requirements and standards in the area of EEO and WHS.About youYou are tech-savvy, confident, and able to communicate effectively with all levels of people—both internally and externally—while quickly learning new skills.As a strong team player, you possess excellent written and verbal communication skills.
You are solutions-oriented and have a natural ability to manage deadlines and work with urgency all of which will be crucial as the business continues to grow.

You thrive in a dynamic, agile, and growth-focused environment.You will also have:Highly proficient in Microsoft software packages – Word, Outlook and Excel, with SharePoint experience being desirable.Demonstrated strong organisational skills, and experience in office management procedures.
Project management skills not essential but highly regarded.Ability to handle competing demands and respond to deadlines.Ability to work as part of a small team, with minimal supervision.Problem solving skills and a 'can do' attitude.Experience in other fast-paced administration roles that offer a variety of tasks.Excellent attention to detail and ability to maintain accurate records.The following are desirable for the role, but not essential:NV1 or NV2 Security clearance.While formal qualifications are not essential, qualifications in Administration or a similar tertiary course.What's on OfferAt CTP, we recognise the importance of diversity.
