As the Executive Assistant in our Emergency Department, you will play an important role in ensuring the seamless operation of our critical care service. You'll provide administrative and clerical support to 36 Staff Specialists, facilitating their efficiency and enabling them to focus on delivering high-quality patient care.

Your responsibilities will encompass a wide array of tasks, including managing diaries, booking and attending meetings, and meticulously documenting minutes for both the Emergency Department and Paediatric Emergency Directors. You'll provide essential administrative functions such as data collection, Staff Specialist roster management in Healthroster, and coordination of official travel and Temporary Employment Service Levy (TESL) for all our esteemed medical professionals.

You'll be involved in the recruitment process for our junior and senior medical staff. Your role will also involve liaising closely with Medical Directors to provide extensive support tailored to the unique demands of the Emergency Department and Paediatric Emergency.

Working Hours and Environment: This full-time position offers stability with Monday to Friday hours from 8:00 AM to 4:30 PM, with flexibility options available. Where you'll be working: Our Emergency Department is one of the busiest tertiary referral centres in Australia and the only trauma referral centre in NSW outside of Sydney. Our specialist staff are focused on meeting the needs of acutely ill and injured patients, providing care for both adult and paediatric patients throughout Newcastle, Lake Macquarie and Northern NSW.

Connected to the Emergency Department is an eight bed short stay unit for emergency patients requiring further observation and assessment. Our department is accredited with the Australasian College of Emergency Medicine for both adult and paediatric emergency medicine training. Within the larger Emergency Network we provide a number of comprehensive medical and nursing training and transition programs.


About you: Proficient in diary management and meeting coordination. Excellent organisational skills with a keen attention to detail. Preferably experienced in a healthcare environment. Demonstrated reliability and a strong sense of responsibility. A dedicated team player with a proactive mindset. Career-focused with a drive for continuous improvement. Ability to thrive both independently and collaboratively in a fast-paced setting. A social bunch too - we celebrate birthdays, have morning teas and cheese platter days! Buddied up with the Administration Manager in your first week. Mandatory and ongoing training to expand your scope.
