Corporate Operations EA
to join our team!
We are seeking an experienced administrator ready and eager to provide the highest quality administrative assistance to the VIC team, including the State CEO, Head of Recruitment, Auctioneer, and the State Performance team.
In this role, you will be tasked with administration and coordination of auction events, network performance meetings, preparation of roadshows, and most importantly, assisting the CEO.
You will become a central figure in the Ray White VIC team, supporting the management and smooth day-to-day running of the VIC office.
What You'll Do:
Executive Assistant (EA) to CEO VIC & TAS
Expenses, Calendar Management, Travel Arrangements, and Support and Assistance for CEO
Recognition
Coordination, Communication (including mail outs), Function Invites, Ordering Trophies & Packs
Auctions
Organising & Managing Auctions, Assisting with Auction Set Up, Preparing Monthly Auction Email Campaigns, Sending on Auction Invoicing Monthly and Troubleshooting Discrepancies
Assist with Contract Processing and Bidder Registrations for Auction Day, Cross Check all auction presentations and RTA links, Auction Competition Preparation & Assistance with Bidding, Finding Good Auctions for Upcoming Weekend for the Media Team
Auction Data Analysis Reports for Training, Training Offices on Backend of Auctions Live, Onboard Offices onto Auctions Live, Troubleshoot Auctions Live
Pencilling Rosters & being on call for other Pencillers when troubleshooting necessary
Preparation of Auctioneer run-sheets & descriptions for Auction Events and Single Auctions
Events
Annual Awards Preparation, Event Approvals
Spearheading Together, our wellness and intranet platform, for the VIC corporate team, including organising team events and posting announcements (e.g., anniversaries, birthdays, and achievements).
OKRs
Review and Maintain Team OKRs
Booking Quarterly Meetings with Principals, Following up with Network after Partnership Plan Meetings, Coordinate Meetings & Calendar Invites with Network, Managing the Monday board
Managing Ticket Distribution to Principals Weekly
Onboarding and Offboarding Corporate Staff
Maintaining Recruitment Database, Preparing Market Recruitment Opportunities Reports, Organising New Office Dinners & PBs with Onboarding Offices, Sponsorship Documents, Delegating Lead Referrals, Organise Meetings with Prospects, Handling all Agents and Business Inquiries sent through raywhite.com
Ad Hoc
Additional responsibilities when other team members are on leave, general clerical duties, ad-hoc administrative assistance, Assist with events and reception relief when required, responding to phone and email enquiries, Coordinate and oversee sales agent roadshow (external).
Who You Are:
2+ years in administration role or similar
Technical knowledge & problem-solving skills
All-Rounder with a "Can-Do" attitude
Vibrant personality, able to build strong relationships and promote a positive work environment
Able to deliver quality service while managing various projects and priorities
Time Management, Ownership of Issues, Independent Worker - Accountability
