Civil Contract Administrator - Full Time With recent growth and an increasing number of opportunities, we are seeking a highly skilled Civil Contract Administrator to join our expanding team in Luddenham, NSW.
When joining our team, you'll have the chance to work closely with our Director, Project Manager and Administration team, providing invaluable consultancy services to leading civil infrastructure contractors and government entities.

About the role:
As a Civil Contract Administrator at Vella Civil, you will play a crucial role in ensuring business unit compliance with assigned contracts.
Your key responsibilities include:
Overseeing the administration of all construction contracts.
Drafting, developing, reviewing and negotiating contracts and deeds of variation for civil commercial and residential construction programs, civil works projects and provision of services.
Leading, organizing, and controlling contract administration to optimize annual profitability including RFIs, EOTs, Variations and claims.
Managing multiple contracts, including progress claims, payments, dispute claims, scope management, and variations processing.
Ensuring adherence to the Contract Administration Plan, reporting on subcontractor and supplier performance, and identifying improvements.
Clarifying terms and conditions to Director and Project Manager.
Responding to inquiries and resolving issues concerning company contracts, civil construction programs, commercial and residential projects, services provided and affected entities.
Preparing and reviewing proposals, submissions and reports across all projects and civil construction operations with a Civil Construction approach.
Project planning and programming with Site Managers and Project Manager.
Monitoring corporate deadlines and ensuring key contractual conditions are met.
Advising company director and senior management on specific issues and matters requiring their attention and implementing their decisions.
Occasionally attending client meetings, project reviews, and industry events; thus, a valid and current driver's license is preferred.
Estimating variations scope quantities, assessing and justifying costs.
Reviewing contracts and scope of works during tender stage and at contract execution stage.
Submitting notice of delays, extension of time and out of sequence notifications to client.
Preparing demolition working plans, works methodologies, safety management plans and reports.
Cost tracking project on daily basis and tracking all site diaries and truck records.
Establishing monthly reports per project for projects progress, planned works, projected profit margins, projected expenses, project timelines, risks and opportunities.
Reviewing and approving monthly invoices for all projects.
Engaging subcontractors, negotiating rates, issuing contracts, reviewing service scope, material supplies, work methodologies, safety paperwork, qualifications, insurances and assessing subcontractor claims.
Assessing contractor payment schedules in time and establishing summary tables, organizing and attending meetings to resolve all outstanding issues.
Responding to emails, RFIs, design coordination and project daily coordination with clients, 3rd party consultants, site team, office team and subcontractors.
Assisting site team to coordinate site works as well as tracking site team progress.
Ability to represent Vella Civil in client meetings and working to the benefit of Vella Civil.
Establishing good relationships with companies and clients.
Communicating using project groups, storing and allocating resources for each project to company server.
Preparing all related SWMS, DBYD, ITPs and test results.
Qualifications and experience:
Bachelor of Civil Engineering, Project Management, Quantity Surveying, Construction Management or Associates Degree coupled with procurement or legal experience are advantageous.
Construction Induction Card (White Card).
Current Driver's License, and own reliable transport.
Outstanding communication skills and ability to develop rapport with internal and stakeholders.
5+ years of industry experience including building and civil projects.
Strong understanding of workplace WHS procedures.
Good computer skills, including MS Office, Mud Shark, Cubit, Blue Beam, Payapps, Hammer Tech, Procore and other online platforms.
Strong communication skills, leadership skills, intellectuality, confidence and decision making.
Excellent organizational, time management, and leadership skills.
