This position will provide support for the Strategy, Policy and Coordination Division, and the Office of the Deputy Secretary - Resources, Strategy and Policy, to ensure the efficient and effective delivery of key business activities and processes. This includes management of committees, the coordination function, grant program delivery and other business activities.

Period of Appointment Appointment to the role is on a permanentflexible basis (up to 73.5 hours per fortnight).
Duties Provide organisational support to the Division's leadership group and divisional staff. Assist with the maintenance of record keeping, information databases, data dashboards and performance reporting systems, including use of the Content Management system and the Coordination tasks. Coordinate and support requests for analysis and research support as required by project managers, including researching current and emerging trends to inform project management, policy and legislative reforms and developments and undertaking data collation for analysis. Provide support to the Office of the Deputy Secretary as requested by the Senior Executive Project Officer. This may include diary management, planning and general support for the Deputy Secretary. Monitoring the workflow and relevant email inboxes and tracking systems, and actioning requests as necessary. Provide a primary coordination point for Ministerial and other correspondence for the Division, including the coordination of the Estimates Committee Briefs and Question Time Briefs preparation processes. Review documents to ensure the quality standards of the Department are met and maintained, including providing guidance and direction and setting up template responses in Content Manager. Prepare and submit agendas, minutes, presentation materials and briefing papers for committees the Division supports and provide secretarial and administrative support at meetings including taking minutes and ensuring all agenda items, minutes and associated papers are prepared in a timely manner. Establish and maintain operational guidelines and processes. Coordinate events, travel and meeting arrangements. This includes developing itineraries and preparing background information for meetings, events or other requirements of the Leadership Group.
