Paying $46 to 55ph + super (APS 5 level)
Supporting the Corporate Services Branch which includes around 15 staff across: HR, Finance, Governance & Reporting plus IT (which is outsourced).

The Role
This position plays a key role in customer service for internal staff and the coordination of key outsourced services. Responsible for supporting the provision of reception services, performing day-to-day office administration, basic IT coordination and assisting the HR & Corporate Services Team to deliver its work plan and priorities. This position reports into the Assistant Director HR and Corporate.

Key Accountabilities Office administration and support to Corporate Operations, including assisting the HR team
Onboarding and Offboarding of employees including ensuring that new employees on their first day have access to phone and computer systems & key software and swipe cards are ready for use; and that a desk and computer has been allocated in their portfolio section; and mobile phone setup when required.
Coordinate IT queries and redirect to Chill IT where possible. Ensure the coordination of ICT Management, End User Infrastructure Services and Applications maintenance and delivery.
Ensuring all incoming calls are answered and redirecting callers as appropriate.
Set up meeting rooms and coordinate facilities for meetings and seminars.
Assist with compliance functions for Corporate Operations Branch and escalate any concerns to the Assistant Director.
Reporting and coordination of reports including Senate orders.
Manage orders for resources, arranging fulfillment in a timely manner, ensuring restocking where appropriate.
Email inbox management and escalating important or complex matters to the Assistant Director or Chief Operations Officer/CFO.

About You (selection criteria) Previous administrative experience such as: Team Support, Business Support, Executive Support etc.
Excellent administrative skills using the MS Office Suite, MS Internet Explorer and an understanding of IT Systems and key applications, e.g. TRIM, SharePoint.
Strong time management skills with a proven ability to manage competing priorities and meet deadlines.
Exceptional written & verbal communication skills
Good attention to detail (spelling, grammar and layout) in written communication.
Personality – friendly/professional/approachable manner, pro-active attitude and solutions focused.
Demonstrated experience providing high-level administrative assistance
