Administrative Assistants (Administration & Office Support)

Schedule: Monday, Tuesday, Wednesday, Thursday, and Friday10:00 AM - 3:00 PM (onsite)(Some weeks will require staying an extra 1-2 hours if needed, however, this will be the general shift) (Tuesdays can be half days working from office and home: 10:00 AM - 1:00 PM office, 1:00 PM - 3:00 PM offsite)

We specialize in providing services in disability and community care, including personal care, life skills, community access, and disability housing. About the Opportunity: Caura is seeking an experienced Administration Officer to join our team in Liverpool. This role is central to our person-centered approach, acting as the face of Caura and ensuring effective support for clients and their families. The successful candidate will work collaboratively with the management team and provide essential administrative support to case managers. Key Responsibilities:

Support case managers with rostering and scheduling. Handle incoming client and staff phone calls and correspond via email with relevant teams. Create simple quotes and assist with invoicing processes. Assist in organizing staff functions and help with hiring processes. Facilitate staff and client onboarding, ensuring compliance with relevant policies. Conduct feedback and welfare checks on clients. Manage various administrative tasks, including capturing inquiries, purchasing, and client bookings. Engage with the community to promote Caura's services. Maintain a high standard of communication while preserving client privacy and confidentiality. Uphold client rights and privacy in accordance with relevant policies and legislation. Maintain the Client CRM system and upload relevant documentation for client and employee files.

Qualifications:

Certificate III in Business Administration, Customer Service, or equivalent qualification/experience. Current Flu Vaccination. Demonstrated experience in rostering. Proficient in Microsoft 365 SharePoint and Microsoft Office (Word and Excel).

Skills & Experience:

Previous experience in aged care, community care, or disability services is essential. Strong attention to detail with problem-solving, negotiation, and conflict resolution skills. Excellent communication and customer service skills, with an ability to easily connect with others. Proven ability to work collaboratively within a team and independently as needed. Understanding of Work Health and Safety principles and risk management practices.
