Your Opportunity The Coffs Harbour Mission Australia Centre (MAC) is a new community hub offering a safe and welcoming space for individuals and families facing significant challenges.
It provides easy access to a wide range of programs and services, fostering a supportive environment for social connection and collaboration.
The centre is designed to bring together local service providers, individuals, and organizations to create positive outcomes for the entire community.
The Administration Officer plays a crucial role in ensuring the smooth operation of the centre.
Reporting to the Centre Coordinator, this position handles a variety of front-of-house and administrative tasks.
As the first point of contact for visitors, the Administration Officer ensures a warm and inviting atmosphere while managing office duties that are essential for the efficient running of the centre.
Your key responsibilities will be to: Perform reception duties, including answering calls, redirecting, and taking messages for all MAC services and programs.
Deliver high-quality, person-centered, trauma-informed customer service, ensuring all visitors are warmly welcomed and assisted with inquiries and appointments.
Safeguard client confidentiality and always respect their rights and information.
Facilitate connections between individuals and appropriate support organizations for wrap-around services or early intervention.
Contribute to the development of responses to adverse community feedback.
Provide administrative support to the MAC team, including organizing meetings, processing mail, preparing documents, and spreadsheets.
Manage office supplies, ensuring stationery and kitchen orders are completed and site assets are maintained.
Stay knowledgeable on office equipment and complete electronic/hard copy filing and archiving in line with MA policies.
Offer administrative assistance to staff using MA systems and government platforms.
Treat all service participants with professionalism and respect, using a trauma-informed approach to de-escalate potential incidents.
Maintain a clean, safe, and welcoming environment in the foyer and public areas.
Requirements for Success Demonstrated experience in an administrative role, including general office administration, reception, and diary management.
Relevant qualifications (e.g., Certificate in Business Administration) are highly regarded.
Strong customer service skills with a person-centered approach when interacting with diverse stakeholders, including young people and individuals experiencing mental health challenges.
Awareness of culturally appropriate communication to foster safety and trust with Aboriginal and Torres Strait Islander staff and clients.
Strong written and verbal communication skills, with the ability to present information clearly and professionally.
Excellent organizational and time management abilities.
Strong attention to detail.
High level of computer literacy, including proficiency in Microsoft Office.
Positive team player who seeks to improve work practices and processes.
Valid Drivers License.
