The position is full-time (38 hpw), however, there is flexibility to offer part-time (minimum 0.8 FTE) working these hours across either 4 or 5 days per week for the right candidate. Available for an immediate start and funded initially to 30/11/25. Ongoing employment is subject to and conditional upon continued funding.
About the role: Reporting directly to the CEO, the Administration Officer will be responsible for providing support to the Health Voyage Corporate Services team across a broad range of administrative tasks in an efficient and timely manner. Duties include but are not limited to:
Diary/calendar management for meetings, preparation of Agenda and Minutes where relevant, letter preparation, printing, copying, filing, ordering/pick up of catering.Prepare and issue fortnightly staff newsletter including sourcing content, design, and layout.Manage and update relevant Corporate Services Registers as directed.Manage and update Corporate Services Teams Channels.Assist with creating new content/pages for the Health Voyage SharePoint site and maintaining the currency and relevance of the content.Assist with admin tasks as directed to support Health Voyage services during re-accreditation cycles.Assist with document management procedures and system monitoring and coordination.Other office operational tasks including ordering/purchasing of stationery, housekeeping items, kitchen supplies, etc.Assist with coordination of facilities and assets management including maintenance requirements, liaison with external providers.What you will need to apply: Our ideal candidate will have at a minimum Cert IV qualifications in business, business administration, communications, or a related field together with a broad range of experience in an administrative position. Demonstrated experience in systems including contract management, records management, Excel, and the Microsoft M365 suite including Microsoft Teams.Demonstrated ability to maintain a high level of accuracy.Demonstrated understanding of the nature of sensitive information and the importance of confidentiality.Demonstrated time management skills and proven ability to prioritize work to meet deadlines.Current Working with Children Check or willingness to obtain prior to commencement.Desirably, experience working for a NFP/Charity or similar community service would be highly regarded.
