Position: Full-time Salary: Depends on experience About Us: Co-Hive Hub is a vibrant new centre for young adults with disabilities. We are located in Alexandria, Sydney and launched in February 2024. We are dedicated to supporting young adults (age 17-35) with disabilities, enhancing their skills and independence for mainstream employment and community integration. Our rapidly growing team of 12 staff members is committed to creating a nurturing and inclusive environment. Our workplace is renowned for its friendly, supportive atmosphere. Plus, we have an adorable cavoodle puppy named Coco who adds to our team's charm!
The Role: We are on the lookout for an experienced, organized, and personable Administration Manager with a flair for Customer Service, Processes and Marketing. Ideally, candidates will possess NDIS knowledge or be eager to learn. This role requires excellent time management, superior communication skills (both oral and written), and a sense of humor. Flexibility and empathy are crucial, as you'll be the welcoming face of Co-Hive Hub at our front desk, ready to make a tangible impact on people's lives.
Key Responsibilities: - Perform administrative duties with precision and efficiency.
- Manage client invoicing, scheduling, and stakeholder relationships.
- Maintain accuracy of Xero (Accounting), Shiftcare (CRM Systems) and other filing systems,
- Develop a comprehensive social media plan and coordinate all social media platforms.
- Create engaging online content including updating the website and develop newsletter.
- Maintain a tidy office environment, order stock, and address health and safety issues.
- Manage Accounts Payable approvals, co-ordinate timesheets and staff schedules.
- Reply to inquiries and manage onboarding processes.
- Show flexibility in supporting participants and adapting to varying needs.
- Demonstrate empathy in all interactions, fostering a compassionate and supportive environment.
Requirements: - Previous administrative experience in a customer service business and/or relevant qualifications.
- Genuine interest in the disability sector.
- Warm, compassionate, and friendly demeanor.
- Team player with flexibility and a willingness to assist where needed.
- Ability to meet deadlines, and be comfortable in a dynamic work environment.
- Experience with invoicing, appointment scheduling, stakeholder relations, and staff scheduling.
- Creative, with an aptitude for social media management and content creation.
- Experience in use of Xero, Client Management Systems, Google Suite, MS Office, and Canva.
