About the role We currently have a position available for a part time (minimum 22.5 hours per week) Administration Assistant / Receptionist. In this role you will work closely with the Practice Manager providing valuable support to the Directors and across the organisation, including reception duties when required.
Your responsibilities may include:
Assisting with various tasks to ensure efficient daily operations. Assisting with routine HR administrative functions such as:Recruitment, including posting advertisements on Seek, screening resumes, scheduling interviews and conducting reference checks; Onboarding, including being the first point of contact for new employees and conducting HR inductions; Preparation of employment documentation; Filing/document management; Preparing for and attending monthly HR meetings. Handling confidential information with integrity and discretion. Assisting with the scheduling and booking of professional development and travel arrangements as instructed. Answering the phone in a professional manner, transferring calls and taking messages as required; Ensuring the office is tidy and well presented to visitors and clients; Collecting and processing mail, attending to banking and making other deliveries outside of the office as required. Providing general administrative support to our professional and corporate services teams in the office as required, including data entry, filing and scanning. The ideal candidate will possess the following:
A positive attitude and motivation to grow and develop your skills in this role. Demonstrated ability to complete a range of administrative tasks utilising Microsoft Office products, including spreadsheets, reports, letters and schedules; Excellent attention to detail, with the confidence to speak up when issues are identified; Ability to multitask and prioritise tasks effectively; Excellent personal presentation and communication skills; Ability to build and maintain professional relationships. Prior experience completing HR administration tasks would be desirable, but is not required. All training for the position will be provided.
