Mid North Coast Legal Centre (MNCLC) www.mnclegal.org.au is part of Advocacy Law Alliance Inc. www.advocacylaw.org.au.
MNCLC is a not-for-profit community legal centre which provides civil law services in the local government areas of MidCoast, Port Macquarie – Hastings, Kempsey Shire, Nambucca Shire, Bellingen and Coffs Harbour. We established an office in Coffs Harbour in 2019.
MNCLC seeks to provide access to justice through a multidisciplinary approach that includes legal information, legal advice, advocacy and representation, policy and law reform and legal outreach across the geographic catchment area.
DESCRIPTION OF ROLEThe Admin and Client Services Assistant will contribute to the effective and efficient day-to-day running of the Coffs Harbour office and support of the Mid North Coast Legal Centre. To be effective in this role you will lead by positive example to deliver high-quality service, support and teamwork in an efficient manner and in a way that strives for continuous improvement. Crucial to this role is the ability to work independently, have an eye for detail and meet staff and management needs that are embedded in quality outcomes and meet efficiency goals.
Pay Grade and HoursRole is classified as at Level 3.1 of the Social, Community, Home Care and Disability Services (SCHADS) Industry Award. This is a 12-month contract for 38 hours per week.
ConditionsMid North Coast Legal Centre is a flexible workplace with above award leave conditions including salary packaging, 11.5% superannuation plus 1.35% advance payment of annual leave loading. MNCLC also offers other generous conditions of employment, including additional paid leave over the December/ January holiday period and paid wellbeing days throughout the year.
AREAS OF RESPONSIBILITYClient Intake and Office AdministrationAssist the Centre staff in the local administration of the Centre.Undertake intake duties, reception and telephone duties.Facilitate staff meetings, planning days and other communication within the Centre.Assist staff with administration tasks that may include database administration, typing (meeting notes, planning documents, correspondence).Assist with coordination of front desk volunteers.Undertake clerical duties relevant to the position, includingPurchasing office supplies and other equipmentManaging office calendarsEnsuring office machines, equipment and motor vehicles are serviced and well maintainedOrdering stationaryProvide relevant information to potential clients or members of the public as required.Assist with general day-to-day office administration.Referrals and NetworkingIn collaboration with other staff assist to develop the profile of the MNCLC within the broader community in general and specifically to disadvantaged community members. This may include attending network meetings, developing relationships with stakeholders, and representing MNCLC's values and mission.Assist with referral and support for clients who have issues that fall outside the legal framework of the Centre by attaining an excellent understanding of available services and in facilitating referrals appropriate to the needs of the Centre's clients.Work with local and regional organisations to develop the profile of MNCLC within the broader community in general and specifically, disadvantaged community members.GeneralAssist with the maintenance of the MNCLC stakeholder database.Assist with intake and accurately record (enter) information and other service activities onto the CLASS database.Develop an excellent understanding of the MNCLC Practice Manual and the services intake guidelines.Maintain and distribute information including brochures, handbooks and information sheets relating to MNCLC and other relevant services for client's needs.Personal ResponsibilitiesUndertake work and other activities with integrity whilst upholding the organisation's values and ensuring a people-first approach across our staff, volunteers and clients.Support team cohesion in a flexible and friendly manner.Protect and enhance the reputation of the organisation.Execute the tasks that are assigned to you to a high standard.Collect data to evaluate your work and regularly report on it.Meet objectives and deliverables in a timely manner.Maintain positive relationships with the Centre's partner organisations and the wider community.Carry out any reasonable additional tasks as directed. Comply with the policies and practice manual of the organisation. Comply with the relevant standards set for the organisation by the funding body or sector association. Demonstrated understanding of and commitment to social justice.Demonstrated initiative, discretion and judgement with the ability to maintain confidentiality.Excellent written and oral communication skills, including a good phone manner and an ability to communicate clearly in plain English with diverse groups including CALD, Aboriginal and Torres Strait Islander people and people with disabilities.Well-developed interpersonal skills, including conflict resolution skills and the ability to work well within a team environment including under supervision of the Assistant Principal Solicitor.Well-developed organisational and time management skills.Demonstrated ability to provide technical oversight to the administration of an office, including management of office equipment, ordering office supplies and other associated tasks.For more information about MNCLC, see www.mnclegal.org.au.
