Eg CASES21, Word, Excel, Powerpoint.Demonstrated commitment to professional learning and growth for both self and others.RoleThe Administration Assistant will:
Assist with the Vocational Education & Training (VET) programs delivered at Mornington Secondary College, TAFEs, RTOs, and local schools for students in Years 10 to 12 including meeting VCAA requirements for VASS.Assist with the Work Experience process for all students.Work under the direction of the Assistant Principal - Senior School and the Careers Practitioner.Attend and be an active participant in meetings.ResponsibilitiesLiaise with Applied Learning Leader regarding internal VET options for the forthcoming year.Assist with the administration process with RTOs when establishing VET programs delivered on campus.Create VET application pack for the forthcoming year.Create VET promotional material for Course Information Night and Course Selection period.Assist with the enrolment process of students undertaking VET internally and externally.Assist with the VET applications in line with DET Place-Based Planning Portal process.Maintain VET spreadsheet to include applications, enrolments, withdrawals, etc.Create VET Tuition Fees and Materials Charges spreadsheet based on RTO information.Liaise with Business Manager regarding VET costs.Create RTO Purchasing Contracts, Purchase Orders and maintain record of invoices and payments made.Assist with students at risk of non-completion includes liaising with Year Level Coordination.Liaise with General Office, Program Leaders and Timetabler and cross-check with Compass rolls to ensure the accuracy of VET enrolments and class lists for VET classes and qualifications.Organise FMPLLEN VET student surveys to ascertain level of satisfaction with courses.Attend PVET Network Meeting with FMPLLEN.Maintain VET information on Careers page.Communicate with the School Community regarding VET via Compass Newsfeed.Monitor and action VET attendance.Assist with the ongoing communications with students and parents/guardians regarding the status of VET applications, VET attendance, At Risk, etc.Assist with the responses to incoming VET related emails.Provide VET report and VET attendance update to students and parents/guardians at the end of Term 2.Provide final VET Attendance and VET results to students and parents/guardians at the end of Term 4.Gather data to inform decisions with future VET programs.Provide regular feedback to relevant staff on the progress of individual students.Assist with the presentation of VET information at year-level assemblies, information evenings, etc.Engage with the Head Start program to support students' access to appropriate apprenticeships and traineeship pathway opportunities.Assist Career Practitioner as required for Careers related events/duties.Assist with the VASS for VET student enrolments.Obtain VET certificate and units of competency from RTOs for all students undertaking VET.Enrol students in VET qualification by VASS due date.VET Eligibility Reports.Liaise with Applied Learning Leader for anomalies.Obtain VET results from RTOs and upload results by VASS due date.Assist with VASS for students undertaking a school-based apprenticeship/traineeship.Liaise with RTO regarding Training Plan, approve and sign.Provide Training Plan to VET VCAA unit for approval and access to qualification on VASS.Download the manual but check regularly for updates.All Project Ready students need Work Experience.Work Experience applications - continuous updating of applications.All other students (not Project Ready) can fit into either of these time slots unless special work exp eg Interstate, Hospital, Zoo & if advised by YLT.For the blocked dates, liaise with YLT and provide information to students/families.Update MSC guide (Work Experience and SWL in-house) each year.Request Project Ready teachers to create Learning Task for safe@works; all other students will need to be provided with the information separately &/or via MSC guide.Possible referrals to Headstart if applicable on completion of Work Experience - liaise with Headstart.Headstart PlacementsHeadstart manages/approves then provides paperwork to be uploaded onto database and filed.Liaise with Yr level teams, WRS teachers, etc.Circulate Spreadsheet to YLTs, WRS teachers, and Careers.Download reports from Work Expo software.OtherOther duties as assigned by the Business Manager, Principal or Assistant Principal.Comply with legislated occupational health and safety practices and participate in consultative processes.Observe safe work practices in accordance with school policy, training, and instructions.Identify, report and where appropriate, action risks/hazards in order to eliminate or mitigate against the risk recurring.Promote and implement occupational health and safety and risk mitigation processes within the College.Who May ApplyPrevious experience with VET and Career Education essential.Proficient in Microsoft suite of programs.Be able to integrate habits and practices of ongoing review and evaluation to ensure continuous improvement through the performance and development cycle.Participate in ongoing professional development plans as directed by DET.The following Role Specific Competencies are the skills, knowledge and behaviours that lead to a staff member being successful in their role: College Focus: Demonstrates a desire to address College needs and does so in a professional manner.Flexible Team Player: Works effectively within a variety of situations, individuals and groups applying the 'whatever it takes' attitude.Planning and Organisational Skills: Establishes a clear course of action to achieve long or short-term goals in an organised manner.Technical Knowledge / Skills: Possesses the level of technical skills to preserve and/or enhance the quality of services provided by the school.EEO AND OHS CommitmentApplicants seeking part-time employment are encouraged to apply for any teaching service position and, if they are the successful candidate, request a reduced time fraction.
