About the role An exciting opportunity is available for an accurate, motivated and reliable Trade Mark Assistant with 2+ years' secretarial or administrative experience to join our team in Sydney, on a full-time basis.
Sitting in the Operations team, reporting to the Trade Mark Practice Manager, this role will provide full operational support to the Practice Group and its fee earners.
Key responsibilities of this role include: Build strong relationships with fee earners across the Trade Mark Practice Group and other Operations team members, and work collaboratively with other teams to contribute to business development activities.Maintain data in the Firm's case management system (Inprotech).Draft and prepare correspondence, liaising with clients and associates on behalf of attorneys.Execute and file all required documentation (where applicable, notarisation / apostille / legalisation of documents) within required timelines.Create, finalise and distribute invoices, including submitting to client-specific portals.Identify, clarify and follow escalation paths to resolve problems or issues as they arise and in a timely manner, sometimes using discretion and judgement to achieve outcomes within time constraints.Communicate with key stakeholders, as outlined in the process guides, to address issues and queries relating to clients, IP offices, consulates and foreign trade mark associates.Conduct document research and/or obtain status reports through IP databases and IP Australia.Provide administrative support to attorneys by managing tasks that enhance efficiency and ensure timely completion of work, including tracking daily and weekly deadlines and overseeing workflow.Other ad hoc duties as required, with a willingness to support other team members and firm staff when required.Skills & Experience The successful applicant will ideally have:
At least 2+ years' experience in intellectual property (preferred).An understanding of relevant jurisdiction within which the firm operates (e.g. IPONZ and IP Australia).Experience with task management systems (preferable) and a high degree of IT literacy with the ability to learn new software programs quickly.Experience with stakeholder management and communicating across different levels of the business.Time management and organisational skills, with the ability to use discretion and judgement to manage multiple priorities and competing deadlines.Ability to work in a fast-paced environment, consistently meeting tight deadlines and adapting to shifting priorities.The ability to problem-solve and collaborate with staff members to ensure individual and shared goals are met to a high standard with minimal supervision.Strong attention to detail.A proactive attitude with a keen interest in professional learning, growth and development.Experience with Microsoft Office Suite (Intermediate level) particularly Word and Outlook.What we offer Spruson & Ferguson offers a wide range of benefits aimed at supporting our employee's ongoing development, including but not limited to:
