Salary: APS 4 - $74,882 - $81,521 per annum plus superannuation

Who we are The Australian Antarctic Division (AAD) is part of the Commonwealth Department of Climate Change, Energy, the Environment and Water.
As the primary agency for Australia's Antarctic Program (AAP), the AAD is responsible for achieving the Australian Government's Antarctic goals.
These goals are to:
maintain the Antarctic Treaty System and enhance Australia's influence within itprotect the Antarctic environmentunderstand the role of Antarctica in the global climate systemundertake scientific work of practical, economic and national significance.The AAD also has responsibility for administering the Australian Antarctic Territory and the Territory of Heard Island and McDonald Islands.

The Operations and Logistics Branch plans, coordinates, facilitates, and delivers operations for the Australian Antarctic Program by safely resupplying and sustaining the Antarctic Stations and building operational capacity to deliver future Antarctic projects.
The Supply Chain Operations Section is a key element of the branch's three logistics arms (the others being Aviation and Maritime Operations) and carries responsibility for the effective planning, coordination, management, and delivery of a range of cargo and supply chain services in support of seasonal operations within the Antarctic, sub-Antarctic, and the Southern Ocean.

The Job As the Supply Chain Support Officer, you will be responsible for coordinating training and onboarding programs, supporting business improvement initiatives, and assisting with the development and review of Standard Operating Procedures and assurance processes.
Additionally, you will contribute to various other supply chain activities, including procurement and front-of-house duties, to support the team as required.
Key duties day-to-day will include but are not limited to:
Training Coordination: Maintaining an up-to-date Training Management System, recording Supply Chain team members' licences and certificates.
Booking and scheduling training for both groups and individuals.
Build and sustain positive stakeholder relationships to organise and coordinate onboarding programs for new starters.Business Improvement Initiatives: Supporting continuous improvement efforts via participation in workshops, consultation with stakeholders, and execution of business analysis tasks to refine and enhance existing workflows and systems.Records Management: Providing team members with guidance on the use of records management systems, whilst ensuring compliance with organisational policies.Reporting and Data Analysis: Utilising Microsoft Excel to compile, analyse, and present data from various internal systems, generating reports to support decision-making and track key metrics.Standard Operating Procedure (SOP) Review and Development: Reviewing, updating, and refining SOPs and process documentation as needed to reflect changes in processes or regulatory requirements.Web Content Development: Updating and writing content for Supply Chain Operations' web and intranet pages to provide useful information and resources to staff and Antarctic expeditioners.Assurance Process Development: Developing and maintaining assurance tools, which include checklists, inspection templates, and processes to enhance compliance and support safety initiatives.Participate in Supply Chain Activities: Participating effectively in other Supply Chain Operations activities and tasks as required, such as procurement activities or front-of-house duties to support and provide redundancy for other team members.What we are looking for Knowledge and experience Demonstrated experience in coordination and administration, including scheduling, booking, and managing training and onboarding processes, or equivalent.Knowledge and practical experience in business analysis or project management, such as workshop facilitation, change management, stakeholder consultation, and/or process analysis to support business improvement initiatives.Practical knowledge of records management practices and experience using records management systems to maintain accurate documentation and compliance.Experience creating reports and performing basic data analysis activities, particularly using Microsoft Excel, to support team decision-making and stakeholder education activities.Working experience in documentation development and updates to ensure operational consistency.Familiarisation with risk management processes and developing and implementing assurance tasks to support compliance and safety initiatives.Skills and capabilities Teamwork and Stakeholder Engagement: Proven ability to foster a positive and inclusive workplace culture through effective leadership, collaboration, and cultural awareness.
Skilled in engaging with diverse stakeholders, building strong relationships, and ensuring clear and effective communication.
Strong team player who can work effectively across different functional areas, contribute to group discussions, and support team objectives.Attention to Detail: Highly organised with strong attention to detail to ensure accuracy in data entry, record-keeping, and report generation.Communication Skills: Excellent written and verbal communication skills utilised to confidently engage with team members and external stakeholders in a clear, concise manner.Technological Proficiency: Proficiency in adopting specialised software and systems relevant to supply chain operations, for example, Microsoft Office Suite, electronic consignment systems, asset management databases, and scheduling software.Analytical and Problem-Solving Skills: Analytical skills to monitor current processes, suggest improvements, and build data-driven reports that support operational decisions.Organisational Skills: Good organisational skills, with the ability to time-manage multiple tasks, prioritise competing demands, and meet deadlines relative to team goals.Proactive Approach: Self-motivated and proactive in identifying potential solutions for key problems and supporting business improvement initiatives.Adaptability: Ability to adapt to changes in technology, processes, and workload, with a willingness to learn and apply new skills as required.Desirable qualifications A tertiary qualification from an Australian tertiary institution within a relevant field (i.e.
supply chain or project management) or demonstrated equivalent experience.

Eligibility and other requirements Citizenship: To be eligible for employment with the Department of Climate Change, Energy, the Environment and Water you must be an Australian citizen.
Security Clearance: This position does not require a security clearance.
