About the Victorian School Building Authority The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the introduction of free public education in the 1870s. The VSBA upgrades and expands existing schools and plans, designs, and builds new schools to meet enrolment demand, while also supporting schools with expert advice and coordinating maintenance programs and grants.
About the Division The Asset Management Division helps schools maintain and manage their buildings and grounds, ensuring energy efficiency. The Division trains school leaders as facilities managers and supports them in developing school maintenance plans.
About the Role This is a full-time fixed-term role for 2 years, not beyond 31/12/2026. This position is based in the Programs Branch, which delivers state-wide maintenance and compliance programs. As a Project Support Officer, you will provide administrative support to ensure the smooth operation of the Programs Branch. Responsibilities include record-keeping, managing internal and external communications, and maintaining office equipment and supplies.
This role requires attention to detail and the ability to thrive in a flexible, high-performing division. You will provide high-level executive and administrative support to ensure efficient management of day-to-day operations for one or more Executive Officers at the VSBA.
Key duties include: Managing diaries, emails, and meetings Preparing written communications Supporting HR processes Processing invoices and payments Assisting with various projects You will be responsible for ensuring time-critical tasks are completed, maintaining accurate records, and offering support to other teams within the division.
Attributes The ideal candidate will have a proven track record in providing administrative support to senior executives, with excellent communication and organisational skills. They will be resourceful, able to collaborate effectively, and contribute to a positive work environment. Strong attention to detail and the ability to manage multiple responsibilities are essential.
