About the Department
The department provides a wide range of learning and development support and services. It provides policy leadership, plans for the future of education in Victoria, and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight, and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.
About the Victorian School Building Authority
The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s. The VSBA upgrades and expands existing schools and plans, designs, and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants.
About the Division
The Asset Management Division helps schools maintain and manage their buildings and grounds and ensures they are more energy efficient. The Division trains school leaders as facilities managers and supports them to develop school maintenance plans. They coordinate programs, assessments, and systems to ensure schools are routinely maintained and cleaned.
About the Role
This is a full-time fixed-term role for 2 years, not beyond 31/12/2026.
This position is based in the Programs Branch, which delivers state-wide maintenance and compliance programs, including Minor Works, Emergency Maintenance, Accessible Buildings, regulatory and compliance programs, relocatable buildings, and Inclusive School programs.
As a Project Support Officer, you will provide administrative support to ensure the smooth operation of the Programs Branch. Your responsibilities will include record-keeping, managing internal and external communications, and maintaining office equipment and supplies.
This role requires someone with a keen eye for detail who can thrive in a flexible, high-performing division within the VSBA. You will offer high-level executive and administrative support to ensure the efficient management of day-to-day operations for one or more Executive Officers at the VSBA.
Key duties will include managing diaries, emails, and meetings, preparing written communications, supporting HR processes, processing invoices and payments, and assisting with various projects. You will be responsible for ensuring time-critical tasks are completed, maintaining accurate and accessible records, and offering support to other teams within the division.

They will be resourceful, able to collaborate effectively with team members, and contribute to a positive work environment. Strong attention to detail and managing multiple responsibilities are essential for successful task completion.
