RoleThe Sports, Events, Social Media Coordinator and Student Mentor is responsible for coordinating and supporting the delivery of a wide range of school events, sporting programs, and student engagement activities across both campuses.
This role includes organising, supervising small and large groups of students, and mentoring students in school-approved activities, ensuring compliance with Department of Education (DE) policies, and liaising with staff, parents, and external stakeholders to create a well-rounded extracurricular and co-curricular program.
ResponsibilitiesEvent and Sports Coordination:• Assist with the coordination of all school sporting events and teams across both campuses, including scheduling training sessions and facilitating team preparations.• Supervise large groups of students during school events, camps, excursions, and on school grounds.• Possess strong knowledge of the rules for sports such as football, soccer, netball, basketball, volleyball, and badminton, enabling effective coaching and officiating of school sports teams.• Organise and hire buses for school sporting events (some operation may be required if necessary).• Complete event planning documents, including risk registers, in collaboration with the Teacher in Charge and the Principal's Personal Assistant.• Coordinate transport logistics for sporting and external school events, ensuring compliance with safety and DE requirements.• Assist with school programs such as Friday sports, supporting staff and students during activities.• Plan and organise the school's swimming program, including booking venues and coordinating transport; support the program's execution by attending and managing logistics.• Organise cultural performances and timetable classes for attendance at these events.• Organise and coordinate Anzac Day/Remembrance Day assemblies across both campuses in conjunction with the school's leadership team.Student Mentorship and Engagement:• Mentor small groups of students across both campuses to foster engagement in academics, sporting and extracurricular activities.• Coach and umpire the school's sporting teams, promoting teamwork and sportsmanship.• Conduct and organise lunchtime activities with education support staff to enhance student participation and well-being.Administration and Compliance:• Work closely with the Facilities & OHS Manager to ensure all events are compliant with DE policies and safety standards.• Develop event timetables and schedules in collaboration with staff and external stakeholders.• Maintain accurate records of event-related documentation, risk registers, and incident reports.• Coordinate and set up assemblies, including award distribution, ensuring smooth operation in partnership with school leadership.• Liaise with the school's operations group and teachers to plan and execute events.• Assist in budgeting and purchase orders for events and programs, ensuring financial oversight and adherence to school budget protocols.Communication and Social Media:• Manage the school's social media platforms, Facebook and X, providing timely updates on events, times of departure, and arrival for excursions and other activities.• Liaise with parents and carers, acting as a point of contact for event-related queries and communication.• Coordinate the school's breakfast program across both campuses, ensuring efficient delivery and student participation.Additional Responsibilities:• Support ground staff as necessary with setup and logistics for school events.• Be flexible in responding to other duties as assigned by school leadership.• Collaborate closely with the Principal's Personal Assistant to develop skills in event management, risk register documentation, and compliance requirements.• Participate in camps and excursions, supporting event coordination and student supervision.• Attend overnight camps and day excursions as required.• Assist with the organisation and coordination of the Wimmera Schools Year 6 Leadership Day with the Principal's Personal Assistant.• Assist with the school production when required.Professional Development and Training:• The successful applicant will receive training in risk management, DE policy compliance, event planning, and student engagement.• A bus licence is required for this role.
If the successful applicant does not have a bus licence, they must be willing to obtain one.
The school will support the individual in acquiring the necessary licence.Conditions:• Time in Lieu will be granted for events outside of standard working hours.• The role may require occasional evening or weekend work for school events such as camps and excursions.
