Job Description The key responsibilities of this role are; Provide administrative assistance to the Power Plant management team, including document preparation, correspondence, and internal reporting.
Manage filing and documentation systems, both electronic and physical, ensuring that all records are compliant with company policies and industry regulations.
Maintain office supplies and inventory, ensuring adequate resources for site operations.
Handle incoming calls, emails, and queries, directing them to the relevant personnel and ensuring timely responses.
Ensure that all administrative processes comply with safety and environmental regulations.
Assist with the preparation and submission of regulatory reports, audits, and safety documentation.
Support the tracking of compliance records (e.g., health and safety certifications, environmental monitoring reports).
Monitor and report on safety practices on site, ensuring that all records are up to date and that safety procedures are followed.
Coordinate meetings, site tours, and inspections for management, contractors, and visitors.
Schedule and track employee shifts, training, and certifications, ensuring all plant personnel are up to date on required qualifications.
Assist with travel arrangements for site personnel, ensuring smooth logistics for employees travelling to and from the mine site.
Support the coordination of maintenance schedules, plant shutdowns, and plant-related events.
Assist in preparing and processing purchase orders, invoices, and contracts for equipment and supplies for the Power Plant.
Support on boarding and off boarding processes, including the collection of documents, coordination of orientation sessions, and preparation of new employee paperwork.
Maintain and update employee records and manage timekeeping and attendance systems.
The Successful Applicant The successful candidate will have the following skills; A Certificate or Diploma in Business Administration, Office Management, or related field.
Minimum of 2-3 years in an administrative role, preferably in an industrial, mining, or power plant environment.
Strong organisational skills with the ability to manage multiple tasks and meet deadlines.Proficient in MicrosoftOffice Suite (Word, Excel, PowerPoint) and familiarity with Enable.
Understanding of safety, environmental, and compliance requirements in industrial or mining settings.
Excellent communication skills, both written and verbal.
Strong attention to detail and accuracy.
Proactive and self-motivated with a positive attitude.
Strong interpersonal skills with the ability to work with a diverse range of individuals.
Ability to work under pressure and in a fast-paced environment.
Strong problem-solving skills and the ability to anticipate administrative needs.
