Reporting into the Service Support Manager, the new Service Support Administrator ("SSA") will be based at our Notting Hill head office, enjoy flexibility, and have the option of hybrid working.
The SSA is to play a key role in providing administrative support to the service support team and customer base, as well as: Support customers with their enquiries and forwarding quotations; Finalise outstanding customer queries to support growth of service business; Obtain purchase orders from customers for completed work during the invoicing process; Generate open orders reporting to ensure any outstanding service business is promptly addressed; Provide back up support to service support team to ensure ongoing coverage during peak workloads; Maintain accurate customer information in all systems; Conduct all activities in line with quality controlled methodology; Contribute to continuous improvement of techniques and practices; Apply a compliance focused mindset across all operations, and; Always ensure a safety-first approach.
The ideal candidate will be equipped with the following qualifications, skills, and experience: Tertiary qualifications in business administration, e.g.
Certificate III; Prior experience working in a similar administration role, preferably supporting service activities; Advanced customer focus and ability to both determine customer needs and ways to satisfy them; Moderate-to-high level of proficiency with MS Office tools (Word, Excel); Ability to understand technical language; Proactive, resourceful, and self-starting approach; Team player with a positive attitude and willingness to learn; Track record of working effectively and efficiently during peak workload periods; Exemplary understanding of compliance rules, with a proactive mindset and the ability to act as a role model in upholding and promoting compliance standards, and; Excellent interpersonal, verbal and written communication, organisational, and task management skills.
