Service, Projects & Contracts Administrator We are seeking a high quality multi-talented administration professional with a solid work ethic and team orientated attitude to complement our senior management team across the following 3 key administration and management areas within our business:
PROJECT ADMINISTRATION MANAGEMENT Setting up new projects Issuing tech data Assisting in procurement of materials & supplier quotes Drafting of Fire Services O&M Manuals At commencement of project Formalization at completion of projects Assist Project Manager with Labour Scheduling and Forecasting Manage the process of all general communication between the client and the business Attending (Via Teams / Zoom) all Project Site Meetings – minute taking and manage all required follow up actions Manage the process of all project RFI's, VO's, registers, drawings & documentation Processing and Managing Progress Claims SERVICE & MAINTENANCE ADMINISTRATION MANAGEMENT Assisting Service Manager to set up new contracts and maintenance schedules Using Field Insight maintenance software Generating monthly maintenance runs Updating existing maintenance schedules, asset registers as required Raising and processing of new service reactive jobs / minor service projects Weekly Reporting - management of open jobs Monthly Maintenance Invoicing GENERAL OFFICE ADMINISTRATION AND MANAGEMENT Contribute to the continuous improvement of office procedures and processes Efficiently oversee and manage shared inboxes Daily Communication with Senior Management to ensure the smooth operation of their workflow is maintained, including basic management of their calendars and schedules and coordinate meetings Facilitate internal and external management meetings, minute taking and routine follow up of open action items with all internal and external stakeholders Keep documents up-to-date, manage registers, and generate reports when needed Provide general administrative support to the team to keep day-to-day activities on track. Wet & Dry Fire Services is a South Australian family owned and operated fire system installation and services business with extensive experience across all facets of the fire protection industry. We specialize in complex system installations, special hazards systems and high-level essential services maintenance solutions in particular the specific requirements for the Department of Defense, State Government & Local Government. Our Market Share of business is located within the Adelaide CBD & the Northern Suburbs with our Head Office located within Salisbury Plains.
We are now seeking a skilled Project Administrator to join our dynamic team. The successful candidate will provide varied administration support by working directly with our Project Manager, Service Manager, Managing Director and Accounts Team in managing the day-to-day office administration, contractual obligations, variations, claims and documentation while providing compliance across these areas.
Training and mentorship within the role will be provided, and if joining our team without fire industry experience, a development plan can be implemented which will include product and service specific training.
Our current team is a close-knit group of managers and field tradesmen from both wet and dry fire trades, who enjoy working with each other and are keen to get another high-quality individual to join their team.
