Administrative Assistants (Administration & Office Support) Innovative Fire, founded in Sydney in 2006, is privately owned and operated out of our Kingsgrove office in Sydney NSW.
We have an opportunity for a suitably qualified, success-driven, experienced individual with a focus on customer delivery to join our service maintenance and minor work division.
The successful candidate will be a vital member of our Service, Maintenance, and Minor Works division responsible for customer service, business support, service coordination, account management, general business improvement, and productivity.
Skills & ExperienceDemonstrated skills in communication with stakeholders, planning, time management, negotiation, and adapting to changing situations/work schedules.Ability to multi-task and handle competing deadlines and priorities.Fire industry experience is preferred and/or previous use of (simPRO) is advantageous; however, it is not essential.Service industry/office administration exposure is highly regarded.Self-motivated and able to thrive in a results-driven environment.Confidence in dealing with high volumes of data is essential.Well-developed computer literacy including spreadsheets and database management.Microsoft Office skills, in particular Excel, Word, PDF editor, and PowerPoint.Strong business written and verbal communication skills.Demonstrated high level of customer service to internal and external customers.Responsibilities will includeLiaise with our clients to arrange the scheduling of service.Handle and respond to customers' queries and complaints.Initial processing, maintenance, and recording of inspection reports, quotes, and invoices.Assist with accounts, debtors follow-up, overdue payments, etc.Schedule work for technicians/contractors using the Company CRM system (simPRO).Preparation of annual fire safety statements.Organise stock and supplies for your technicians/contractors.Create purchase orders and approve invoices.Data entry: Monitoring and maintaining our Service Management System.Invoicing.Oversee defect reports and their status.Provide ad hoc support to the wider team. #J-18808-Ljbffr
