Administrative Assistants (Administration & Office Support) Baaz Security is a Retail Loss Prevention & Asset Protection specialized security company.
We are now hiring for a Senior Operations/Payroll Co-coordinator Role.
Register your interest. This position is responsible for the overall performance of the company and client, achieving Baaz Security's business results by building a positive customer experience, quality client service, and premium service offering.
Key responsibilities include: OPERATIONS Completing the rostering/scheduling for our security operations on client sites and filling vacant shifts in line with site requirements and safe rostering practices.Conducting interviews, meetings, and training programs for improving standards with staff.Assisting, monitoring, and getting reports from Payroll, HR, and Supervisors.Liaising with clients and security personnel regarding shift arrangements and briefing staff on their duties.Reviewing client requests and responding promptly.Finalizing and improving shift charts and rosters for all sites.Being on-call outside of business hours on a rotating basis with other schedulers and managers of our Operations Team.Assisting, controlling, and improving rostering and arranging coverage for sickness or annual leave requests.Resolving client and customer complaints to minimize repeat issues.Building a high-performing team, including security guards and crowd controllers.Ensuring staff comply with Baaz policies and procedures.Supervising and managing Security Officers according to guidelines.Reviewing and giving feedback on guards' written incident reports.Ensuring compliance with all aspects of site security operations as per contract and industry regulatory requirements.Creating relevant site management and compliance reports.PAYROLL/ACCOUNTS Generating weekly and fortnightly invoices for different clients.Managing a small-medium sized ledger.Running fortnightly staff payroll under manager's supervision (up to 100+ employees in busy periods).Assisting in data entry in rostering and Xero software.Resolving discrepancies by liaising with customers and internal staff.TO BE CONSIDERED FOR THIS POSITION, YOU WILL POSSESS THE FOLLOWING: Possession of a current WA Security License, WA driver's license, current RSA card, and First Aid (preferred).Ability to work overtime, including weekends and nights.Availability to respond to client requests 24/7.1-2 years of management experience in a similar environment.Experience in the security industry as a site manager or security consultant (preferred).Degree in Accounting, Business, Commerce, or related field; Cert IV in Security and Risk Management is highly regarded.Experience in leading medium-sized teams.Strong interpersonal and communication skills.Highly developed computer skills (MS Office mandatory, Xero Essentials preferred).Proven ability to work effectively independently and as part of a team.Good organizational skills with attention to accuracy and detail.Client Partnership Build and maintain relationships with clients and engage with Baaz management and employees.Monitor and audit service delivery to ensure compliance with contractual requirements and Baaz standards.Understand the security and safety needs of clients and promote Baaz value proposition.Act as the point of contact between all clients and employees.Coordinate training inputs and training needs identification for all staff members.Provide continual leadership to staff.Manage, maintain, and achieve employee KPIs.Provide help and advice to customers using the organization's services.Communicate courteously with clients/employees by telephone, email, letter, and face-to-face.Analyze statistics or data to determine customer service levels.Train staff to deliver high standards of customer service.Lead or supervise a team of customer service staff.Stay updated on the organization's products or services.Report feedback, performance, and incidents to operational management.Commercial Business Acumen Track all employee payroll costs, ensuring expenditure does not exceed budgets.Make business decisions to reflect Baaz brand and service offerings.Comply with audit standards as per industry requirements.Job Types: Part-time
