This role is ideal for someone who is currently in a Facilities Officer/Coordinator role and is looking for that next step! Please note, that whilst you will have four people reporting into you, this is not a Facilities Manager role and we are still looking for candidates in the earlier stage of their careers who are looking for their next challenge.

The role As part of the Facilities team in Sydney, and as the Senior Facilities Officer, you will report to the National Facilities Manager who will be based in Melbourne. As a result, you will be the person that people look to here as a mentor for guidance, direction and to lead by example.

You will engage with staff at all levels of the business by providing support services to all the office environments. The Senior Facilities Officer also liaises with external vendors and stakeholders to ensure we provide the best value services to our staff and in turn our Members.
Day to day Provide day-to-day support to the National Workplace Manager to ensure a safe, comfortable and efficient workplace for staff by managing all office security services, office procurement and stock control, meeting room management, and WHS compliance activities.Act as co-ordination point for all staff issues or concerns with the offices.Liaise with building management and other suppliers to ensure problems are addressed promptly and in accordance with contractual responsibilities for each office.Take the lead in the management of security for the site (Access cards, Insight system).Monitor and process incoming work requests through the Service Now Workplace Helpdesk and co-ordinate through contractors as required.Manage the cover for reception relief through team roster.Assist with overseeing processing of catering requests and ensuring catering requests align to defined policy limits.Oversee and assist with set up/pack down of conference rooms as required, as well as seminar room set ups.Support all corporate offices (Brisbane, Melbourne, London, Perth, Sydney & Wollongong).Assist/support the facilities officers with the running of the regional offices.Identify and execute opportunities for reasonable cost savings by understanding alternative service providers and their terms and conditions.Assist with ensuring all trade and building work has proper management approval.Supervisory responsibility for direct reports, including Facilities Officers, Facilities Coordinator and Reception/Concierge staff.Coach, oversee and assist the Facilities Officers in their day-to-day tasks.Maintain accurate records relating to the Workplace function.Respond to telephone, email, personal or written enquiries in a timely and professional manner.Oversee administration and record keeping of WH&S records, i.e. first aid & fire warden training, annual fire safety statements etc. for all offices.Assisting with coding of invoices for your offices, approving of invoice payment within defined delegated authority.Aboriginal and Torres Strait Islander Peoples are encouraged to apply.
