The Office of the Chief Medical Officer has a full-time fixed-term temporary opportunity for an experienced Executive Support and Correspondence Officer located in Brisbane CBD.
In this role, you will provide professional and confidential high-level executive and administrative support to the Office of the Chief Medical Officer.
The role
As part of the Department of Health, this role is responsible for providing high-level executive and confidential secretarial support to the Chief Medical Officer (CMO). The role requires the ability to independently handle and respond to enquiries, ensuring timely delivery of accurate reports, briefing notes, and submissions.
Additionally, the successful candidate will facilitate the dissemination of information across various internal and external stakeholders with tact, diplomacy, and professionalism, maintaining effective relationships with senior executives in both the public and private sectors.
The ideal candidate will be skilled in the use of various administrative systems to manage financial, human resource, and procurement requirements while proactively overseeing incoming and outgoing correspondence. This role demands a commitment to continuous improvement of administrative processes, ensuring high-quality services are consistently delivered.
The successful candidate will contribute to the development of efficient work systems, promote a positive team environment, and support the operational needs of the Office of the Chief Medical Officer with expert administrative and advisory support.
The successful person
To be successful in this role, you will have problem-solving and issues management skills in resolving challenges and implementing improved work practices. You will also have excellent communication and people skills, with demonstrated capacity to liaise, mediate, and negotiate with all levels of staff and with a range of internal and external stakeholders in a sensitive and confidential manner.
In addition to this, you will have advanced knowledge and demonstrated proficiency in contemporary computer software applications, including Microsoft Office, Email and Calendar Applications MS Outlook, and Internet Applications. Advanced knowledge of or ability to rapidly acquire knowledge of Queensland Health computer software applications, including Content Manager, and proven ability to use a high degree of initiative, decision-making skills, and negotiation skills, and reliability in operating independently with minimal guidance and direction when discharging duties as the ESO.
