The Company: Lotus People are partnering with a prominent player within the FMCG industry who are looking to hire a Senior Executive Assistant to support their C-suite Executives here in Sydney.
They are seeking an exceptional Executive Assistant to support three key executives and play a pivotal role in this exciting journey.
The Role:  As an experienced EA you will be a proactive, detail-oriented professional with a passion for supporting executive leadership and driving organisational success.
Key Responsibilities:  Provide comprehensive support to the CEO, CFO, and General Counsel, including managing board-related activities, preparing and uploading board packs, and understanding the needs of the board.
Ensure seamless communication between executives and stakeholders, including investors and shareholders.
Manage monthly CEO reports, half-year, and end-of-year results.
Schedule and coordinate executive team meetings, agendas, and events.
Oversee vendor management, travel arrangements, trademark registrations, contract registers, and credit card expenses management.
Lead and bring together the administrative team, fostering collaboration among coordinators across the business.
Manage two direct reports (Executive Coordinators) and ensure the smooth operation of concierge services, invoice processing, office administration, and meeting room management.
Support with exciting projects, ensuring variety within the role.
Required Experience: Proactive approach to EA support - demonstrated ability to anticipate executive needs, take initiative, and manage complex schedules and tasks with minimal supervision.
Advanced Skills in Microsoft Word and PowerPoint.
Proven experience in drafting, organising, and presenting board meeting materials, ensuring accuracy and adherence to standards.
Exceptional Attention to Detail with a strong focus on accuracy and precision in all tasks, including document preparation, scheduling, and communication.
Track record of handling sensitive information with utmost confidentiality and professionalism.
Familiarity with the dynamics and regulatory requirements of publicly listed companies, including board interactions and compliance matters.
