Our agents deliver meaningful outcomes that will benefit our nation long into the future.The opportunityThe Senior Executive Assistant is responsible for:providing a range of high-level executive support and administrative services to the Head of the Australian Space Agency.managing the Head of Agency's calendar, inbox, travel arrangements and clearance workflow.support drafting written material for the Head of Agency, such as the Head of Agency's weekly message, email correspondence etc.managing Agency events, including monthly meetings, departmental events and supporting VIP delegation visits.support Head of Agency engagement with stakeholders and at major domestic and international events, including organising programs, schedules and assisting with logistics.other tasks as directed by the Head of Agency and Executive Officer to the Head of Agency.Our ideal candidateWe are looking for a dynamic and collaborative Executive Assistant who has experience providing executive support. This role requires strong communication and organisational skills and the proven ability to proactively manage competing priorities. The ideal candidate should enjoy working collaboratively in a small team, possess excellent judgment and demonstrate integrity in their work.What you will doThe Executive Assistant to the Head of Agency is responsible for providing high-level administrative assistance and executive support to the Head of the Australian Space Agency by:managing the Head of Agency's administrative functions in a complex and high-volume environment, including diary and inbox management, workflows, scheduling appointments, organising events and travel bookings, expense acquittals, meeting logistics and arrangements and drafting correspondence.managing the HOA's daily clearance list and weekly all staff email.providing advice to the Head of Agency and Executive Officer to the Head of Agency on stakeholder engagements and operational issues.supporting HOA engagement with stakeholders and at meetings, including coordinating agent attendance, meeting briefs, minutes, notes, action and after-action reports from engagements.supporting HOA engagement with stakeholders and at major domestic and international events, including organising programs and schedules and organising logistics for HOA attendance and meetings.travelling with the Head of Agency as needed.ongoing assistance for the Australian Space Agency Advisory Board, including day-to-day operational management, managing papers and logistical matters.providing leadership and support to the executive support team in the Agency, including developing team building experiences and contributing to a positive culture.building and maintaining strong working relationships with the offices of federal and state Ministers, senior departmental executive, state and territory representatives, and senior industry leaders nationally and internationally.building key stakeholder relationships within the Lot Fourteen community.contributing to the Executive Assistant network in the department.other tasks and projects as directed by the Head of Agency and Executive Officer to the Head of Agency.EligibilityTo be eligible for employment in the APS and the department, candidates must be Australian Citizens. Positions require a Baseline security clearance and successful candidates will be required to obtain and maintain a clearance at this level.NotesA merit pool may be established and used to fill future vacancies within 18 months from the date the vacancy was first advertised in the Gazette.
