Senior Administrator Executive Assistant Full time 19 days ago, from Institute of Data Australia The Senior Administrator will be responsible for overseeing daily practice operations while also providing high-level executive support.
This role will need someone who is hands-on and will lead by example at the front desk, combined with strategic administrative management and assistance to senior executives.
They will need to be a proactive and organised leader who excels in multitasking and communication.
Key Responsibilities: Operational Management: Oversee daily administrative operations, including scheduling, staffing, and resource allocation to ensure organisational efficiency and effectiveness.
Team Leadership: Lead, mentor, and support a team of administrative professionals, fostering a collaborative and productive work environment.
Executive Support: Provide executive assistance to senior leadership, including managing schedules, coordinating meetings, and handling confidential information.
Policy Implementation: Develop, implement, and enforce administrative policies and procedures to ensure compliance with healthcare regulations and organisational standards.
Process Improvement: Identify and implement process improvements to enhance operational effectiveness and patient satisfaction.
Stakeholder Communication: Act as a key point of contact for internal and external stakeholders, addressing inquiries and resolving issues in a timely manner.
Data Management: Oversee the management of administrative data and documentation, ensuring accuracy, confidentiality, and compliance.
Project Management: Lead and support special projects and initiatives as assigned by senior management.
Event Coordination: Organise and manage executive events, conferences, and meetings, including logistics and follow-up.
Qualifications & Experience: Education in Healthcare Administration, Business Administration, or a related field.
Minimum of 5 years of experience in a senior administrative or executive support role within a healthcare setting.
Proven track record of managing and leading teams effectively.
Excellent organisational and multitasking abilities.
Proficiency in office management software and healthcare information systems.
Exceptional communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Discretion and ability to handle confidential information with professionalism.
Knowledge of healthcare regulations and best practices.
