Reporting to the Distribution Centre Manager, the Senior Administration Officer forms an integral part of the National Pharmacies Distribution Centre team.
You will be responsible for Providing first class customer service to all customers and visitors ensuring that a professional image of National Pharmacies image is always portrayed.
In this role, you will: Ensure 100% of calls are answered within a timely manner and ensure all enquiries are directed appropriately.
Assist in resolving queries from wholesale customers, suppliers, and internal teams promptly.
Efficiently manage DC stationery supplies within budget and monitor staff time and attendance via Kronos.
Maintain confidentiality of leadership discussions and manage the DC manager's schedule transparently.
Coordinate staff events and communications within budget, and assist in onboarding new contractors.
Process NPD orders accurately using JDE and Microlistics WMS system, and follow up on failed transactions for prompt payment.
Ensure timely processing and dispatch of online orders, maintaining customer service standards.
What Are We Looking For?
Reception Skills: As the first point of contact for both internal and external customers, you will need to provide a professional and welcoming experience, managing calls and inquiries efficiently.
Technical Expertise: A sound understanding of key applications, including JDE, Pharmx, Microlistics WMS, WooCommerce, and Westpac Payway, is essential to navigate various systems and ensure smooth operations.
Proficiency in Microsoft Office: The ability to use Microsoft Outlook, Excel, and Word effectively is a must.
You will need to produce reports, manage emails, and communicate clearly with internal teams, customers, and DC team leaders.
Strong Communication Skills: You should possess excellent communication skills, both verbal and written, to interact with a diverse range of stakeholders and maintain clear, professional correspondence.
Knowledge of Company Policies and Warehouse Processes: A solid understanding of NP company policies and pharmaceutical warehouse processes is crucial for ensuring compliance and effective task execution.
