About the office/school The School of Medicine (Fremantle) offers a four-year Doctor of Medicine (MD) program that has been fully accredited by the Australian Medical Council of Australia and is highly ranked by graduates in national surveys.
Key features include a focus on small group teaching and problem-based learning, combined with rich clinical experiences across the entire program.
The School also offers several postgraduate health education programs to assist health professionals to develop their capabilities as educators and leaders and a Pre-Medicine Certificate at an undergraduate level.
About the role This position is based at Fiona Stanley Hospital and St John of God Hospital Murdoch, working closely with the Head of MD Clinical Years and provides administrative support for the clinical placements at St John of God Hospital Murdoch and Fiona Stanley Hospital along with the supervision of other hospital based administrative staff.
Key Responsibilities Provide administrative support to the Hospital Coordinators and any other Notre Dame academic appointees in the St John of God Murdoch Hospital & Fiona Stanley Hospital.
Supervise the duties of hospital based administrative staff at other sites, including but not limited to: be the first point of contact and dealing with any issues or problems.
ensure that hospital information is up to date e.g., orientation manuals for students, contact details of mentors and teachers, and timetabling.
organize regular meetings with hospital based administrative staff.
be the point of contact between site administrative staff and clinical coordinators.
ensure that all staff are familiar with University and School procedures relating to students.
Assist in the collation, preparation and supervision of timetabling and general academic and other information for the Notre Dame medical students attending the hospitals.
Coordinate the application of and monitor the Health Information Network (HIN) Intranet passwords for clinical years students in all public hospitals.
Act as the primary contact in the hospitals for School staff and medical students and provide them with the necessary information about the hospitals and its processes.
Liaise with School of Medicine, Fremantle staff regarding any issues affecting Notre Dame staff and students in the hospitals.
Liaise with the appropriate officer at the hospitals regarding any organizational issues between Notre Dame and the hospitals.
Provide support to the hospital based administrative staff at other sites during peak periods, periods of leave and at other required times.
Provide support to the campus based administrative staff during periods when students are not in the hospitals.
Provide orientation to students at both sites including to theatres.
Format curriculum documents and presentations as required.
Ensure compliance with Occupational Health and Safety standards and guidelines including identifying, assessing and controlling health and safety risks in the workplace.
Comply with all other reasonable training and duties as identified by the line manager (or delegate).
Comply with University policies and procedures in all aspects of their work and conduct.
Qualifications, skills & experience A Degree qualification, or an equivalent combination of relevant experience and/or education/training.
Excellent organizational skills with the ability to meet deadlines, set and achieve realistic goals and establish work priorities either individually or as a team member.
Experience in and the ability to work without supervision.
Ability to maintain confidentiality and to exercise initiative, tact and sound judgement.
High level of attention to detail.
Well-developed interpersonal, oral and written communication skills including the ability to work as a member of a team, liaise with other staff members and interact with a diverse range of people whilst maintaining a strong focus on high quality service.
Demonstrated experience and skills with Microsoft Word, Excel and Outlook, internet browsers, and webbased applications.
PeopleSoft experience would be highly regarded.
