We have an exciting opportunity for Registry and Filing Administrators who are seeking a position based in Laverton with a Federal Government Department. This is a full-time contract role commencing immediately until 30 June 2025, working Monday - Friday 8am-4pm.
The Role: The Registry and Filing Officer will be responsible for a range of functions including the following:
Work collaboratively and operate as an effective team member and will be required to undertake a range of procedural, clerical and administrative support tasks to support their work unit.Share information with the team and contribute to team discussions.Enter control metadata information into the Records Management System or the nominated Excel Spreadsheet as part of the digitisation project.Maintain databases to ensure accurate record keeping.Dispose of records that are no longer required for business purposes and have been kept longer than required by applicable Records Authorities. The disposal process will include updating records as per the project and defined guidelines.Responsible for the completion of allocated tasks within required timeframes and procedures that are subject to close monitoring.Accountable to perform and contribute to the registration and filing of hardcopy and digital documentation via work instructions.Prioritise and direct work tasks, including the registration and maintenance of files and correspondence to ensure completion within a timely manner.About you: Candidates must be able to demonstrate:
Excellent attention to detail, to assess the content and context of a record, and determine the most appropriate sentence to apply.Ability to undertake repetitious tasks, both manual and screen based.Physically handling paper-based files (a large file may contain 1000+ records).Removing staples, pins, tape etc from Reference Material prior to scanning.Physically being able to retrieve files/boxes of files from shelves, place them on trolleys, move them to another location in the repository for actioning, and then returning them to shelves or elsewhere on site for further action.Physically being able to load boxes of records.Intensive screen-based data input and review, coupled with repetitive data processing.Ability to sit for periods in a desk type situation and workflow between physical files, a computer terminal and a repository/archival area.Ability to closely follow a work instruction step by step each and every time.Ability to closely follow verbal instructions.Please note: If you currently hold a Baseline Security Clearance, please make this evident in your application.
