We have a fantastic opportunity for an experienced Studio receptionist to join our Sydney studio on a permanent, full-time basis.
This role pivotal role is the front face of our studio and provides varied, and rewarding experiences focused on quality customer service and strong administrative support.
Key Responsibilities Welcoming visitors & clients, handling inquiries through positive experiences and customer etiquette, both online and in person.
Support for our studio teams and providing customer resolution assistance.
Provide basic level IT support by assisting with IT-related tasks, including on-site studio support, desk and meeting room setup, basic troubleshooting, and coordinating and distributing technology equipment.
Taking ownership of all studio activities, efficiently.
Maintaining meeting rooms, communal spaces, print room and kitchen – ensuring they are fully stocked and tidy at all times.
Reconcile credit card expenses and support the accounting team.
Supporting the Studio Chair and providing support to the Manager- Studio Support, when required coordination of the booking of meeting rooms, equipment and catering, and setting up any functions to a high standard and ahead of time.
Provide administrative assistance, including typing, note taking, travel booking and formatting documents for the Studio Chair and Studio Support team.
Ordering all Studio supplies Mail collection and distribution.
Receptionist / Secretarial and Administrative duties.
About you This position requires a proactive, customer-focused, well-organised and friendly professional with excellent communication skills.
You will need to prioritize tasks and manage your time effectively.
A strong background in administration is required, along with proficiency in Microsoft Office applications.
Additionally, you should have a good understanding of how to successfully manage a busy, large studio.
You will be able to demonstrate 2 + years of experience in similar administrative assistant roles.
Ability to work and communicate with diverse and large creative professionals.
Must be detail-oriented and highly organized with an ability to manage multiple priorities.
Strong customer service skills, a friendly and positive attitude, and flexibility are key.
Excellent professional writing and communication ability.
A positive, can-do attitude and proactive willingness to learn.
The ability to maintain confidentiality and operate with both discretion and tact.
Strong computer skills – experience in Outlook, Word, Excel, and PowerPoint are essential.
InDesign experience is highly regarded but not essential.
A certificate in Business Administration is desirable but not essential.
Previous experience supporting an Architectural / Design environment is an advantage.
