About the role: Transmax has grown significantly over the last 2 years, and we are not slowing down!
We are continuing to expand and are now recruiting for a Receptionist to join us and take on a key role which is critical to the ongoing success of Transmax.
Joining our busy administrative function, you will contribute to day-to-day operations and provide exceptional administrative support to all internal groups within Transmax as well as performing front of house duties.
This role will be permanent part time – with daily hours between 9:30am-2:30pm (office attendance every day is required), if you are looking for a role with a true work life balance – this is the role for you!
A snapshot of your day-to-day: Handling all incoming phone calls and directing / escalating as required. Answering general queries in person, by telephone, or email as well as greeting and directing of all visitors. Performing general administration and clerical functions including filing, general correspondence, document creation etc. Coordinating the organisation / setting up of business functions, morning teas and lunches (including organisation of catering). Opening, sorting and distributing incoming mail, faxes and other deliveries. Packing and organising outgoing courier deliveries, including picking up mail from the post office as required. Maintaining the general tidiness of the reception area, all meeting rooms and kitchen areas including cleaning of the coffee machine. Coordinate meeting room including preparation and setting up of rooms. Responsibility for bookings; including meeting rooms, carparks as well as travel requests for staff. Assist with travel bookings. About You: We are seeking a highly organised Receptionist with a demonstrated background in administration. You will display complementary skills in customer service, organisation and time management and; while acting as the first point of contact for Transmax (internal and external) you will provide a consistent positive experience to all you interact with.
You will be a highly motivated self-starter and be accountable and passionate about what you do! It is necessary that you can successfully manage conflicting priorities and changing workloads as well as demonstrate the ability to liaise with all levels of staff (up to CEO level).
Your toolkit for success will include: A minimum of 2+ years of reception/ office administration experience. Skills with Microsoft Word, Excel and PowerPoint. Previous experience supporting Executive level staff with screening telephone calls, and requests as required. Experience in coordinating the organisation / setting up of business functions, lunches, and dinners (including organisation of catering). Exceptional communication skills; both written and verbal. Demonstrated ability to build rapport with all you encounter. Ability to show initiative and work autonomously. What does Transmax offer?
