Your Contribution
This position is responsible for the provision of high-level operational support to the Director of Health Services and Quality and Compliance Team.
This will include support around quality and compliance processes in the corporate, health and community health space.
While the position reports to the Director of Health Services, it will work closely with the broader Primary Care team and the Quality and Compliance team to support quality, risks, and compliance processes.
Key Responsibilities and Accountabilities
Prepare audit schedules, update audit tools, and oversee and conduct internal audits.
Oversee and support external audits (accreditation) in consultation with the Director of Health Services.
Maintain compliance records and support Managers/Practice Leads to develop, implement, monitor, evaluate, and review actions which address non-compliances.
Liaise with Managers/Program Practice Leads to support audit and compliance.
Monitor and support the implementation of quality management processes within TAIHS.
Monitor progress towards relevant targets and/or support and assist with completion of all reporting by due dates in accordance with service agreements.
Complete all quality management tasks by the required date in line with quality management procedures.
Upload Contracts to LogiQC and record relevant compliance items.
Assist with the preparation, submission, and tracking of reports to funding bodies.
Maintain key contacts for all contracts.
Upload reports in TAIHS Quality management System (LogiQC).
Support the development and lodgement of MoUs and other agreements, and related compliance items, review dates, and any other related tasks.
Assist with the development and auditing of policies, procedures, and other documents, and the management of records.
Recommend changes to procedures and/or practices as a result of audits and amendment to regulatory standards.
Contribute to the mitigation of risk prevention with the Primary Responsible PHC Risk Manager (PHC Director/s) and the development of a safe workplace.
Assist with training and facilitation of internal workshops.
Assist with relevant meetings through minute taking, actions/tasks, preparation, and distribution of papers.
Required Qualifications and Experience
Possess a relevant qualification in the field of health, community services, or quality auditing or at least 5 years' experience in a business support role and/or contract management.
Proven ability to employ interpersonal communication skills (both written and verbal), critical thinking problem-solving skills in the work environment, and to support others to problem-solve challenging situations and issues.
Proven ability to implement support project planning and implement project plans and the achievement of project outcomes.
Managing and Leading Internal Audits Certification.
Demonstrated analytical and negotiation skills with the ability to prioritise and manage complexity in the workplace.
Demonstrated competence in the application and use of primary health software packages and supporting primary healthcare tools.
Required Licenses and Checks
Ability to pass a National Police Check – No Serious/Criminal/Court Records.
Current Blue Card (Queensland's Working with Children Check).
Current C Class Driver's License (Qld).
Proof of qualifications and current registration (as appropriate) are to be provided prior to commencement of employment.
