Our Infrastructure team has been helping the largest clients across Australia with their complex programs of work. Through this partnership on these major projects, we are currently looking for a Project Coordinator to join our team which requires strong technical knowledge but equally strong collaboration and client management skills.

In a Project Governance Coordinator role, you will have knowledge in:
Preparation, collation and coordination of governance committee submission papers, reports, presentations, meeting agendas, meeting minutes, and other documents. Liaising with stakeholders across the business to ensure coverage and deadlines are met, and reports are completed to the required standard. Undertaking assurance reviews of all governance meeting agendas, papers, and project gateway stage deliverables prior to issue to ensure compliance with the requirements of the Project Gateway process. Recording and reporting any non-compliance to the Project Teams and relevant PMO stakeholders to enable correction prior to presentation at the governance meeting. Developing and maintaining local systems, policies, processes, and tools to ensure the effective management and tracking of project governance and assurance matters. Developing and maintaining effective communication channels, feedback and follow-up mechanisms ensuring effective communication internally and with other Business Groups and external stakeholders. Scheduling project and program governance and assurance meetings including managing and recording stakeholder invitation and attendance. Supporting the Project Teams to prepare governing forum papers such that timely, accurate, and succinct information is presented to the approval forum in a manner that enables informed decision-making and approval of funding in the best interests of the business. Tracking and monitoring decisions and actions from governing forum meetings through to their conclusion, ensuring accurate minutes, decisions, and approvals are captured. Working collaboratively and engaging with project teams and other key stakeholders to identify contentious issues arising from decisions, actions, or other sources and escalate to the relevant stakeholder(s) to enable the agreed timelines and deadlines to be achieved. Undertaking project performance, governance, and assurance compliance analysis to identify and implement improved Project Gateway Processes. Qualifications Tertiary qualifications in a relevant discipline or equivalent experience. 4+ years experience working in complex, large scale projects across Infrastructure and Natural Resources. A suitable combination of comprehensive experience in project assurance and/or administration activities. Demonstrated experience providing high-level administrative support in a project environment. Knowledge or the ability to rapidly acquire knowledge of the Project Gateway processes and systems. An understanding of the general principles surrounding project management. Demonstrated experience in establishing high levels of trust, integrity, and responsibility in supporting the work of Project Managers and other internal stakeholders throughout the business. Experience in developing and maintaining effective office systems and procedures. Experience in a project/program management office role. Experience providing secretariat services within a project governance environment. Additional Information Our inspired people share our vision and mission.
