We are seeking motivated and dynamic project co-ordinators, who will work closely with internal stakeholders, vendors and our clients in planning and implementing one of the most significant events in the clients corporate calendar being Annual General Meetings. A role you will love As this is an entry level position, relevant work experience in the financial services field, customer service and or events management space is not a pre-requisite however would be looked upon favorably. The greatest attribute required to be successful in this role, would be the need to have a genuine interest in contributing to delivering a positive customer focused experience with all interactions and tasks linked to the events you would be involved in. To achieve this the successful candidate would need to be capable of applying significant attention to detail, clear communication, solutions focused, and collaboration skills. Some other key responsibilities include: Liaise with clients and key stakeholders to plan and deliver project requirements within agreed deadlines Manage the dispatch of documentation to shareholders Generate client reporting Comply with internal procedures and policies as well as corporate legislation Use internal systems to manage key milestones and update internal and external stakeholders Liaising with external vendors (venue, web streaming partner, event production teams) and internal business partners to ensure the successful set up and implementation of the AGM including dress rehearsals Providing support to the project team who are delivering the meeting with tasks such as opening/closing polls and Q&A Attending Annual General Meetings at different venues and providing support to shareholders and the clients. This may involve regional and interstate travel What will you bring to the role?   This is a truly collaborative environment, so the passion to work closely with colleagues to embrace and share idea's will be paramount. To ensure your success in this role you will bring: Strong verbal and written communication skills Exceptional communication and analytical skills with ability to collaborate, communicate and influence customers Exceptional organisational skills with the ability to manage multiple tasks with competing priorities, in a challenging and dynamic environment Calm and assured demeanour when operating under pressure and ability to interact confidently with senior client contacts Ability to cope and react appropriately in the face of technological or logistical challenges; encountered in a 'live' meeting environment. Ability to work autonomously, navigating through complexity and ambiguity. Familiarity in organising virtual or in person corporate event would be a nice to have trait Experience developing technical and operational procedural documentation (preferred) Sound like the role for you?
